Health Program and Administrative Assistant IV

Summary of Work Activities and Responsibilities:
The Health Program and Administrative Assistant IV assists in the implementation, documentation, and monitoring of health and well-being services and programs, including the Annual Physical Examination (APE), Mental Wellness Support, Random Drug Testing (RDT), and related initiatives.
Main Duties and Responsibilities:
- Program Support
- Supports the planning and implementation of health and wellness services and programs by contacting and following up participants, distributing consent forms, and coordinating with patients and concerned offices
- Receives, acknowledges, and tracks formal expressions of intent from employees availing of health services and programs
- Coordinates referrals for the health services and programs with accredited psychologists, psychiatrists, mental health counselors, and health practitioners in accordance with established guidelines
- Assists employees in understanding program coverage by explaining the exclusions, reimbursement limits, and documentation requirements for the intended health services and/or program
- Supports continuous improvement of program processes by identifying administrative gaps and recommending procedural enhancements
- Serves as the primary liaison to accredited service providers, laboratories, and health practitioners
- Coordinates logistical arrangements for program-related events, including venue, materials, and transportation as needed
- Coordinates among different stakeholders for emergency or urgent cases involving employee/student well-being
- Administrative Support
- Attends to inquiries and requests from stakeholders regarding the different services and programs being offered
- Prepares and sends official communications, reminders, and follow-ups related to service and program procedures and timelines
- Provides support for meetings related to the health services and programs
- Assists in scheduling activities by coordinating with the employees,students, laboratories, healthcare providers, and external service providers
- Provides administrative support to the University Assessment Team (UAT)
- Provides administrative support to the assigned clinic, whenever necessary
- Data and Records Management Support
- Maintains and updates databases, files, and records of correspondences, forms, and other program-related documents
- Maintains complete, accurate, and confidential program documentation, patient records, tracking logs, and reports by following established documentation procedures, conducting regular record checks, and adhering to applicable laws and University policies
- Prepares and consolidates program utilization summaries, tracking reports, and documentation for program monitoring and annual review
- Performs other duties as may be assigned by the immediate supervisor, or any authorized representative
Education and Experience Requirements:
- Graduate of a Bachelor's Degree in management or social science
- At least three (3) to five (5) years' experience in administrative work and office management
- At least one (1) to two (2) experience in a communications-related work
- Familiarity with Ateneo processes and practices, an advantage
