The Senior HR Specialist oversees advanced HR administrative functions and ensures strict compliance with labor laws, company policies, and government regulations relevant to the vape distribution industry. This role provides strategic guidance on HR policy implementation, supervises the accuracy and integrity of employee records, and ensures timely statutory reporting to government agencies.

The position serves as the key advisor to management on HR compliance risks, labor relations, and procedural improvements, while mentoring junior HR staff and fostering a compliant, well-structured, and employee-focused work environment.

HR Administration & Records Management
  • Oversee the maintenance, accuracy, and security of all employee 201 files (physical and digital).
  • Approve payroll support data and validate DTRs, overtime, and leave balances before processing.
  • Develop and update standardized HR forms, templates, and tracking systems.
  • Ensure proper documentation of all employee movements (hiring, transfer, promotion, resignation, termination).
Compliance & Government Liaison
  • Ensure 100% compliance with labor laws, company policies, and industry regulations applicable to the vape distribution business.
  • Prepare and submit mandatory government reports (DOLE, SSS, PhilHealth, Pag-IBIG, BIR) within prescribed deadlines.
  • Represent the company during DOLE inspections, audits, and hearings.
  • Conduct internal HR compliance audits and implement corrective actions to prevent findings.
  • Monitor changes in labor legislation and update management on required policy adjustments.
Employee Relations & Disciplinary Management
  • Oversee issuance of disciplinary actions, show cause notices, and other legal HR documentation within required timeframes.
  • Provide guidance to managers on proper handling of employee relations cases.
  • Ensure proper due process in all employee discipline cases.
Process Improvement & Policy Development
  • Review and enhance HR administrative processes for efficiency and accuracy.
  • Lead HR-related compliance training for managers and employees.
  • Recommend and implement HRIS or automation tools for attendance, records, and reporting.
  • Partner with senior management in drafting, revising, and enforcing HR policies and employee handbook provisions.
Team Leadership & Coordination
  • Mentor and supervise junior HR staff handling admin and compliance work.
  • Coordinate with Finance, Operations, and other departments to ensure HR-related compliance and data accuracy.

Supervise and mentor HR assistants or specialists in administrative tasks and compliance tracking.
