Overview
We are seeking an experienced Construction Proposal & Marketing Coordinator to support its Preconstruction Team with proposal writing, proposal design and production, content organization, and marketing deliverables.
The primary focus of this role will be developing customized proposals and qualifications packages for prospective construction projects. This person will gather information from company leadership and project team members, organize technical and project information, and turn it into clear, persuasive, client-focused content.
The Construction Proposal & Marketing Coordinator will also maintain an organized library of project descriptions, employee resumes, company qualifications, photography, certifications, awards, references, and other information used in proposals and marketing materials.
The ideal candidate is an excellent writer with experience producing professional proposals, qualifications packages, or similar business development materials. This person should also be comfortable creating visually polished documents based on the company’s existing proposals, templates, and branding.Construction industry experience is strongly preferred. This is a fully remote position with no travel or on-site responsibilities.
Key Responsibilities
Proposal Writing & Development- Develop customized proposals for Design-Build, Construction Management, Development Management, Preconstruction, and other project opportunities.
- Write clear, persuasive proposal narratives tailored to each prospective client and project.
- Review requests for proposals and qualifications to identify submission requirements, deadlines, and required content.
- Research prospective clients, project backgrounds, and procurement requirements.
- Gather relevant information from company leadership, estimators, project managers, and other internal team members.
- Translate technical construction information into clear, client-focused language.
- Proofread and edit proposal content for clarity, accuracy, grammar, and consistency.
- Design and format proposals, qualifications packages, presentations, and interview materials using the company’s existing examples and branding.
- Maintain proposal schedules, submission checklists, and pursuit timelines.
- Coordinate with the Preconstruction Team to collect required content and supporting documentation.
- Organize proposal components and confirm that all submission requirements have been addressed.
- Manage proposal production from initial draft through visual layout, final review, and submission.
- Ensure proposals are complete, accurate, professionally presented, and submitted on time.
- Develop and maintain a centralized library of proposal and marketing content.
- Organize project profiles, project descriptions, photography, employee resumes, and team biographies.
- Maintain current company qualifications, certifications, awards, references, and project statistics.
- Regularly review stored information and follow up with internal team members when updates are needed.
- Maintain clear folder structures, file names, and version-control practices.
- Assist with brochures, project profiles, presentations, company announcements, and other marketing materials.
- Help ensure proposals and marketing materials follow established branding and messaging standards.
- Create and update graphics, page layouts, and other visual elements for proposals and marketing deliverables.
- Coordinate the collection of project photographs, employee information, company news, and other marketing content from local team members.
- Support content for the company’s LinkedIn page, including projects, milestones, employees, awards, and company news.
- Work closely with the President, Executive Assistant, Senior Estimator, Preconstruction Project Manager, and other internal stakeholders.
- Participate remotely in proposal-planning meetings and document key requirements and action items.
- Interview project team members to gather technical information, project details, and differentiating points.
- Handle confidential company and project information with appropriate discretion.
- 3+ years of experience in proposal writing, proposal coordination, marketing coordination, business development support, or a related role.
- Demonstrated experience writing professional proposals, qualifications packages, presentations, or similar client-facing materials.
- Exceptional written English, including strong writing, proofreading, and editing skills.
- Ability to organize technical information and convert it into clear, persuasive content.
- Strong research, information-gathering, and interviewing skills.
- Excellent attention to detail and document-quality standards.
- Strong organizational and project-management skills.
- Ability to manage multiple deadlines and follow up consistently on missing information.
- Proficiency with Microsoft Word, PowerPoint, Excel, and cloud-based document-management systems.
- Experience using Adobe InDesign, Canva, PowerPoint, or similar software to create professionally designed proposals and marketing materials.
- Ability to work independently and collaborate remotely with multiple departments.
- Ability to remain responsive during U.S. Central Time business hours.
- Reliable computer, internet connection, and backup power.
- Ability to provide professional writing and document-design samples.
- Experience preparing proposals for a construction, architecture, engineering, real estate development, or professional services company.
- Understanding of construction terminology and delivery methods, including Design-Build, Construction Management, and Preconstruction Services.
- Experience supporting U.S.-based companies or projects.
- Experience managing a professional LinkedIn company page.
- Familiarity with CRM or proposal-management software.
- Experience maintaining proposal content libraries, employee resumes, project profiles, or company qualifications.
