Warehouse and ERP Specialist
The role ensures inventory accuracy, proper documentation of all warehouse activities, and compliance with PEZA regulations, company policies, and internal control procedures. This position serves as the key link between physical warehouse operations and system data integrity.
ESSENTIAL JOB FUNCTIONS
Warehouse Management- Manage day-to-day warehouse operations to ensure the efficient receipt, storage, movement, and issuance of raw materials, packaging materials, work-in-process (WIP), and finished goods.
- Maintain an organized warehouse layout through proper zoning, bin location management, and space optimization to maximize storage capacity and operational efficiency.
- Ensure all materials are properly identified, labeled, segregated, and stored according to product type, inventory status, and handling requirements.
- Monitor material handling activities to ensure compliance with FIFO, FEFO (where applicable), and established warehouse procedures.
- Coordinate inbound and outbound warehouse activities to ensure timely material availability for production and customer shipments.
- Oversee warehouse housekeeping, organization, and storage conditions to maintain a safe, clean, and efficient working environment.
- Maintain accurate inventory records through regular cycle counting, physical inventory, and reconciliation activities.
- Monitor inventory accuracy by investigating and resolving stock discrepancies between physical inventory and system records.
- Analyze inventory movements, stock aging, slow-moving items, excess inventory, and inventory variances.
- Ensure proper inventory control practices are implemented to minimize inventory loss, damage, and obsolescence.
- Support inventory optimization initiatives to improve stock accuracy, warehouse utilization, and inventory turnover.
- Generate inventory analysis reports to support planning, procurement, and management decision-making.
- Process and validate all warehouse transactions accurately within the ERP system, including receiving, issuing, transfers, returns, adjustments, and stock movements.
- Ensure all inventory transactions are recorded in real time to maintain system accuracy and traceability.
- Monitor ERP transaction accuracy and resolve system-related inventory issues with relevant departments.
- Support ERP implementation, testing, system enhancements, and continuous process improvements related to warehouse operations.
- Maintain master data accuracy related to warehouse locations, inventory records, and material movements.
- Assist users in resolving ERP transaction issues and provide support for warehouse-related system processes.
- Prepare, process, and maintain all PEZA-related documentation in compliance with PEZA regulations and company requirements.
- Prepare and monitor PEZA Form 8105, Form 1806, and other required PEZA permits, transfer documents, and movement reports.
- Maintain complete, accurate, and audit-ready records for all PEZA-controlled inventory transactions.
- Coordinate with PEZA authorities, Customs, Logistics, and internal departments to ensure timely processing of documentation.
- Support PEZA audits, regulatory inspections, and compliance reporting requirements.
- Monitor warehouse activities to ensure PEZA-controlled materials are handled and documented in accordance with government regulations.
- Prepare daily, weekly, and monthly warehouse, inventory, and operational performance reports.
- Maintain accurate and organized electronic and physical records of warehouse transactions, inventory documents, delivery records, and PEZA documentation.
- Monitor warehouse performance indicators such as inventory accuracy, transaction timeliness, stock variances, and storage utilization.
- Prepare management reports and inventory analyses to support operational planning and decision-making.
- Ensure all documentation is complete, accurate, and readily available for internal and external audits.
- Collaborate with Procurement, Production, Planning, Logistics, Quality Assurance, Finance, and Customer Service to ensure efficient material flow across the supply chain.
- Coordinate inventory availability, warehouse priorities, and material movements to support production schedules and customer delivery requirements.
- Resolve inventory discrepancies, ERP transaction issues, and operational concerns with relevant stakeholders.
- Participate in continuous improvement initiatives aimed at enhancing warehouse productivity, inventory accuracy, and operational efficiency.
- Support cross-functional projects involving warehouse optimization, system improvements, and process standardization.
- Ensure compliance with company policies, warehouse operating procedures, ISO standards, PEZA regulations, and internal control requirements.
- Promote adherence to occupational health, safety, environmental, and security standards within warehouse operations.
- Ensure warehouse zoning, storage practices, and material handling activities comply with safety and regulatory requirements.
- Participate in warehouse risk assessments, safety inspections, and corrective action programs.
- Support continuous improvement initiatives related to operational excellence, workplace safety, and regulatory compliance.
- Perform other duties and responsibilities assigned by the Warehouse Supervisor or Management.
Bachelor’s degree in Supply Chain Management, Logistics, Industrial Engineering, Business Administration, or related field.
Required Experience (Years and Area/s): Minimum 3–5 years in warehouse operations, logistics, or inventory management
Optional Experience (Years and Area/s): Experience in automated warehouse systems and international logistics.
Technology Proficiency: Warehouse Management Systems (WMS), MS Office Suite (Excel, Word), ERP systems, and inventory tracking software.
