Job Summary

We are looking for an Administrative and Operations Assistant to join FT Drafting Corporation (Facade Tech Pty LTD).

The Admin and Ops Assistant will support each department with its administrative needs as well as provide secretarial support to the general manager. This role will be accountable for the efficient day-to-day operations of each team.

  • Monday to Friday (6AM-3PM; Manila Time)

Job Description

Essential Duties and Responsibilities:

  • Manage and record all incoming and outgoing documents of the company.
  • Document daily administrative tasks; maintain the record and files (both hard and soft copy).
  • Review the accuracy of all supporting documents before they are forwarded to the concerned team.
  • Cleaning assigned work areas inside and outside of the property. Ensure clutter free office pantry.
  • Ordering and maintaining office supplies and other related office needs.
  • Prepare comparative reports for third party service providers, present its analyzation to the management, and recommend the best option in terms of all related factors to be considered.
  • Handle the preparation and reconciliation of expense report/s of the office.
  • Acts as office liaison.
  • Conduct preventative inspection on equipment/systems and coordinate its resolution to third party service providers.
  • Assist HR department with employee onboarding by processing issuance of work equipment, workspace, supplies, and biometrics enrollment of the newly hired employee.
  • Organize internal meetings, presentations, and company events.
  • Perform other administrative needs as may be required by the General Manager.

Knowledge, Skills & Abilities:

  • Bachelor’s degree in office administration or a related field.
  • Knowledgeable in performing basic office administrative works.
  • Experience in communicating with external providers (preferred).
  • In good physical condition to perform manual labor works such as office cleaning.
  • Must have good oral communication skills and positive interpersonal skills
  • Self-starter with the ability to work independently within a team environment.
  • Must be flexible in performing wide variety of administrative tasks
  • Willingness to contribute above daily tasks to help the company in meeting tight deadlines.
