About the Role
Mighty Lynx Solutions Inc. is seeking a highly organized, proactive, and dependable Executive Assistant to provide direct support to the Chief Executive Officer (CEO). The successful candidate will serve as a key partner to the CEO by managing executive-level administrative functions, coordinating operational activities, and supporting technical, warehousing, and purchasing-related requirements.
The ideal candidate is professional, resourceful, detail-oriented, and capable of managing multiple priorities while maintaining the highest level of confidentiality.
Key Responsibilities- Provide comprehensive administrative and executive support to the CEO.
- Manage calendars, appointments, meetings, travel arrangements, and executive schedules.
- Prepare reports, presentations, business correspondence, meeting minutes, and executive summaries.
- Coordinate and monitor projects, deadlines, and action items assigned by the CEO.
- Act as a liaison between the CEO and internal departments, clients, suppliers, and external stakeholders.
- Assist in purchasing, procurement, supplier sourcing, and vendor coordination.
- Support warehouse, inventory, and logistics-related administrative requirements.
- Review, organize, and maintain company records, contracts, permits, and confidential documents.
- Conduct research, data gathering, and business analysis to support executive decision-making.
- Prepare operational, administrative, and technical reports as required.
- Ensure timely execution and follow-up of executive directives and company initiatives.
- Accompany the CEO to meetings, site visits, client engagements, and business-related activities when necessary.
- Coordinate travel arrangements and business itineraries for the CEO.
- Perform other duties and special projects assigned by the CEO.
- Bachelor's Degree in Engineering, Business Administration, Management, or any related field.
- Engineering graduates are highly preferred.
- Licensed Electrical Engineer, Industrial Engineer, Electronics Engineer, or equivalent is an advantage but not required.
- Must have at least one (1) year of relevant experience as an Executive Assistant, Executive Secretary, Administrative Officer, Project Coordinator, Management Trainee, or a similar executive support role.
- Strong background in executive support, administration, documentation, and office operations.
- Experience in technical coordination, warehousing, inventory management, purchasing, and procurement is highly preferred.
- Excellent organizational, planning, and multitasking skills.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office applications, Google Workspace, and business reporting tools.
- Highly analytical, detail-oriented, and capable of working with minimal supervision.
- Ability to maintain confidentiality and handle sensitive information professionally.
- Willing to travel and accompany the CEO for business meetings, project visits, and company-related activities when required.
- Possession of a valid driver's license and ability to operate a four-wheel vehicle is an advantage but not required.
- Ownership of a motorcycle or car is an advantage but not required.
- Experience in engineering, construction, industrial, logistics, warehousing, distribution, or technical industries is an advantage.
- Familiarity with ERP systems, inventory management systems, and purchasing processes is preferred but not required.
