JOB DESCRIPTION
Under general supervision, performs administrative support services related to financial management areas. Prepares financial reports and maintains financial records for all funds of the Department and performs related tasks.
Functions and Responsibilities:
- Perform clerical functions such in incoming and outgoing of financial documents and routing through the EDTMS, photocopying and filing of various financial documents/reports/communications, answering telephone calls, among others;
- Prepare List of Due and Demandable Accounts Payable-Advice to Debit Account (LDDAP-ADA), Advice of Checks Issued and Cancelled (ACIC) and Notice of Transfer Allocation (NTA);
- Prepare Notice of Fund Transfer to Field Offices;
- Prepare financial reports such as Report of Checks Issued, Report of Advice to Debit Accounts Issued and Report of Notice of Transfer of Allocation Issued (RNTA);
- Assist in the typing of checks;
- Assist in the checking of payroll register (salaries/allowances/overtime/cost of services and other employees claims);
- Assist in records management; and
- Perform other related tasks as may be assigned from time to time.
Job Outputs:
- Updated and properly maintained logbook for incoming and outgoing various documents/records/communications;
- List of Due and Demandable Accounts Payable-Advice to Debit Account (LDDAP-ADA), Advice of Checks Issued and Cancelled (ACIC) and Notice of Transfer Allocation (NTA);
- Notice of Fund Transfers to Field Offices and transmittal letters for barangay transfer;
- Report of Checks Issued, Report of Advice to Debit Accounts Issued and Report of Notice of Transfer of Allocation (NTA) Issued;
- Typed Checks;
- Duly checked payroll registers; and
- Properly filed and photocopied disbursement vouchers with supporting documents and communications, Cash Disbursement Record, Liquidation Report, and Report of Cash Disbursement.
