Permit & Contract Administrator

The Contract Administrator supports the company by handling documentation, coordinating with stakeholders, and assisting in project, contract, permits and administrative requirements with confidentiality, discretion, and professionalism. You will be part of a collaborative and supportive team where everyone contributes ideas and drives outcomes.
What Role Will You Play?
You will be responsible for managing contract-related processes, permit processing, ensuring compliance, and maintaining organized records to support smooth business operations. The role also involves system testing, stakeholder communication, data analysis, reporting, and contributing to strategies and change initiatives, including preparing ad hoc reports.
KEY RESPONSIBILITIES- Maintain accurate documentation and proper paper trails for projects and contracts.
- Handle engineering and construction-related documents, including digital submissions such as building permit processing.
- Coordinate with internal teams, external partners, and stakeholders to ensure efficient communication and collaboration.
- Support project managers and other departments in monitoring deliverables and compliance.
- Assist in reviewing bids, proposals, and contracts with relevant teams.
- Register the company for bid sites and conduct bid opportunity searches.
- Register, process and monitor permits via US local sites.
- Experience with permit processing systems is preferred, with any permit system experience being valuable.
- Prepare and complete bid forms, compile requirements, and review documents for bid participation.
- Upload project submittals and maintain organized records of submissions.
- Draft, update, and implement Standard Operating Procedures (SOPs) relevant to project and contract documentation.
- Schedule plan set reviews with plan checkers, if required.
- Ensure adherence to company policies and streamline administrative processes for efficiency.
- Perform other tasks as may be assigned from time to time to support project and contract operations.
- Bachelor's degree in Business Administration, Office Management, or a related field.
- Proven experience as a Contract Administrator, Executive Assistant, Admin Officer, or in a similar role.
- Minimum 2-3 years of experience as a Contract Administrator or in similar administrative roles is required.
- Experience handling engineering and construction documentation, including digital permit processing.
- 1-2 years of experience with engineering and construction documentation is required.
- Preferably with experience in an international or foreign business setting.
- Strong analytical, organisational, and negotiation skills.
- Excellent written and verbal communication skills in English.
- Highly professional, detail-oriented, and proactive, able to work independently under pressure.
- Proficient in MS Office and/or Google Workspace.
