Sales Admin Support – Group Retail Sales

QUALIFICATION:

  • Proven experience in a sales administration and operations
  • Strong organizational and time-management skills with a focus on accuracy.
  • Microsoft Office Suite (Excel, Word, PowerPoint) and Canva preferred
  • Strong analytical skills with the ability to generate and interpret data reports.
  • Excellent attention to detail and ability to work with large datasets.
  • Comfortable communicating and collaborating across various departments and accounts
  • Ability to manage multiple tasks simultaneously and meet deadlines

Key Responsibilities:

Data Organization and Management:

  • Maintain and organize sales data, ensuring accuracy and timely updates
  • Generate and manage reports related to sales performance, KPIs, and customer data analysis.
  • Ensure all sales transactions are logged correctly and up to date.
  • Provide support for the team by organizing data for analysis, trends, and forecasting.

Payment and Order Processing:

  • Process and track account order and delivery, ensuring timely and accurate invoicing.
  • Coordinate with the finance department to ensure that payment schedules are followed and resolve any payment-related issues.
  • Oversee the preparation and submission of sales orders, ensuring compliance with internal procedures and customer requirements.
  • Manage and follow up to resolve payment discrepancies as needed.

Sales Documentation and Reporting:

  • Ensure that all sales-related documents, including contracts, invoices, and agreements, are properly stored and organized in the company database.
  • Generate periodic sales reports, tracking performance, order and delivery activities.
  • Assist in the preparation of sales presentations and internal reports for leadership.

Cross-Department Collaboration:

  • Work closely with sales, finance, plant operations, etc. to ensure seamless communication and coordination for timely delivery and order replenishment .
  • Help address any operational issues and collaborate with relevant departments for resolutions.

Sales Process Optimization:

  • Contribute to the continuous improvement of GRS by identifying inefficiencies in the sales or payment processes and proposing solutions.
  • Ensure compliance with sales policies and procedures to maintain consistency across operations.
