Finance Assistant (Virtual Assistant)

Schedule: Monday to Friday, Flexible hours between 7:00 AM – 4:00 PM | Australia (AEST)

Job Overview:
We are looking for a highly skilled Finance Assistant VA to support our Accounts and Payroll Officer. This is a part-time, flexible role that will ramp up to more hours during a team member’s extended leave period. The role involves handling sensitive financial information, so we are seeking someone with a strong background in finance and payroll, a high attention to detail, and a commitment to confidentiality.
Key Responsibilities:
- Accounts Receivable – invoicing from WorkflowMax, reconciling payments, and following up on outstanding invoices
- Accounts Payable – uploading payments into Xero and processing payments
- Payroll – managing payroll processes using Employment Hero
- General Finance Administration – assisting with day-to-day finance-related admin tasks
- Reporting – preparing financial reports as required
- Previous finance and payroll experience
- Strong knowledge and experience with Xero
- Experience with WorkflowMax (desirable)
- Understanding of the Australian Nurses Award and SCHADS Award (desirable)
- High attention to detail and confidentiality when handling sensitive information
Work Schedule & Hours:
- Sept 2025 – Jan 2026: approx. 10–15 hours per month
- Jan – Mar 2026: approx. 20–25 hours per month
- April – Mid-May 2026: approx. 25 hours per week (fixed shifts required during this period)
- After Mid-May 2026: approx. 20–25 hours per month (TBC, potential for more hours)
