- Minimum of 1-3 years' experience in a similar service or coordination role
- Knowledge of maintenance and service processes
- Technical understanding, including product knowledge
- Excellent customer service skills with a professional communication and phone manner
- Strong attention to detail
- Proficient computer skills, including the MS Office suite
- Experience with Exact (or similar systems) is an advantage
Purpose
- This is a temporary role responsible for the daily dispatch and navigation of Technicians and Sub-contractors to ensure achievement of service, productivity, efficiency and required transactional standards
- Manage Service Technicians' schedules and rosters across multiple states
- Answer incoming phone calls, manage the service inbox, and respond to customer emails in a timely and professional manner
- Provide a high level of customer interaction, engagement and issue resolution, with a strong focus on short-term, dynamic scheduling
- Organise and schedule Technicians' workloads, including planned maintenance, quoted works, on-call rosters and emergency breakdowns, to ensure efficient allocation and maximise productivity
- Coordinate subcontractors for service works and invoice approvals to ensure effective service delivery across various states
- Liaise with clients and customers regarding installation dates and scheduled service timeframes, and follow up to ensure customer satisfaction
- Address and escalate customer issues related to jobs, invoicing and installations in a timely manner
- Maintain and update simPRO, ensuring all job stages and customer/site information are accurate and up to date
- Attend daily huddle meetings to discuss service performance, priorities and other relevant operational matters
- Generate routine monthly maintenance schedules and ensure their timely execution
- Communicate effectively with internal departments including Projects, Production, New Sales and Finance to ensure smooth operations and coordination
- Archive and manage documentation, ensuring records are accurate, complete and up to date
- Assist with inventory management when required
- Perform administrative duties including preparing quotes, answering phones and filing
