Administrative Support
  • Schedule Management:
  • Manage the executive’s calendar, including scheduling meetings, travel, and appointments.
  • Correspondence Handling:
  • Draft, review, and send business correspondence, including emails, letters, and memos.
  • Screen and prioritize incoming communications, including phone calls and mail.
  • Meeting Coordination:
  • Organize, coordinate, and attend meetings, including MANCOM meetings, as instructed by the Management.
  • Prepares agenda and materials as necessary.
  • Take notes/minutes of the important discussions during the meeting.
  • Monitors status of open items and ensures that necessary actions are taken.
  • Travel Arrangements:
  • Plan and coordinate travel arrangements (flights, hotels, transportation).
  • Prepare itineraries and any travel-related documents such as but not limited to: visa application, and passport renewal.
  • Handle any travel-related issues or changes.
  • Document and Data Management:
  • Organize and maintain important company documents, both physical and digital, including contracts, and regulatory compliance paperwork.
  • Ensure proper filing and retrieval systems are in place for easy access.
  • Ensures that all maintained documents are secured to keep its confidentiality.
Operational Support (as per instruction)
  • Assist with product development and/or marketing on preparation and distribution of food tasting samples.
  • Assist with administrative tasks related to department needs, such as research and documentation, encoding and filing, and record updating.
  • Assist on organizing company events to ensure that all details are handled efficiently.
  • Ad-Hoc Tasks:
  • Take on special assignments or tasks as requested by the executives.
  • Stay flexible to adjust priorities and workloads as business needs evolve.
Communication and Liaison
  • Assisting visitors and preparing materials and snacks for the meeting.
  • Manage inquiries or issues, escalating when necessary.
  • Process company’s regulatory and/or compliance documents such as but not limited to: SEC and BIR Registration, Business permits and clearances applications, and other necessary certifications.
Minimum Qualifications
  • Bachelor's Degree in Business Administration, communications or any related course.
  • Proven experience as an Executive Assistant or in a similar administrative role.
