Doulas by the Bay (DBB) is California’s most trusted doula collective, employing over 60 doulas to provide compassionate birth and postpartum support to families across the state. We also partner with insurance providers, HSA/FSA, and fertility benefit companies (e.g., Carrot, Maven, Cleo) to make doula care more accessible.
As we grow, we’re seeking a Billing Manager to lead our billing and collections operations, ensuring smooth financial workflows that support our mission.
Role Overview
The Billing Manager oversees DBB’s billing cycle, insurance reimbursements, payment processing, and collections, while managing a small billing team. This role ensures accurate, timely, and compliant invoicing for clients and partners, including complex third-party payers.
You will build scalable billing systems, partner with customer care and HR teams, and provide financial insights to leadership.
Key Responsibilities- Lead the end-to-end billing cycle: client invoicing, payment posting, payment plans, refunds, and collections.
- Manage insurance and fertility benefit billing (Carrot, Maven, Cleo, HSA/FSA reimbursements).
- Oversee workers’ compensation, payroll deductions, and doula pay reconciliations in partnership with HR.
- Supervise and train billing specialists/admins; assign daily tasks and review performance.
- Monitor aging reports, outstanding balances, and revenue flow, escalating issues as needed.
- Implement and optimize billing processes in Stripe, QuickBooks, PEO payroll systems, and Monday.com.
- Ensure compliance with state/federal laws and insurance requirements.
- Collaborate with Customer Care to resolve client billing inquiries with warmth and professionalism.
- Generate monthly financial and billing performance reports for leadership.
- Bachelor’s degree in Accounting, Finance, Business, or related field (or equivalent experience).
- 3–5 years of billing/AR experience, preferably in healthcare, wellness, or service-based industries.
- Knowledge of insurance and healthcare billing strongly preferred.
- Familiarity with Stripe, QuickBooks, Gusto/PEO platforms, and CRM tools (Monday.com a plus).
- Strong leadership skills with experience managing a small team.
