Recruitment Specialist (Blue-Collar Hiring) - Full Work From Home
About the Role
We are looking for a highly organised and proactive Recruitment Specialist to support the team across candidate sourcing, compliance administration, payroll coordination, CRM updates, reporting, and recruitment support.
The ideal candidate is detail-oriented, adaptable, and confident managing a varied recruitment operations workload. This role is suited to someone with recruitment, coordination, or administrative experience who can communicate well, maintain accurate records, and help keep candidate and recruitment processes running smoothly.
KEY RESPONSIBILITIES
Candidate Compliance & Administration- Contact all candidates every Monday who have not submitted timesheets, ensuring submission by COB.
- Guide all new candidates through the process of uploading tax, bank, and superannuation details into the payroll software via the provided link.
- Track compliance of all working candidates, including forms, licences, tickets, and references.
- Maintain accurate candidate compliance records within the CRM.
- Act as the first point of contact for all payroll-related queries from candidates.
- Liaise directly with the payroll team to resolve issues quickly and remove distractions for consultants.
- Ensure smooth flow of payroll information between candidates, consultants, and payroll staff.
- Monitor overall business health using data from Power BI dashboards and CRM.
- Prepare and deliver a weekly report to Directors summarising key business statistics and insights.
- Identify trends and potential issues, escalating to Directors as required..
- Support consultants with importing and maintaining accurate data within the CRM.
- Assist consultants with general administrative tasks as required to ensure focus remains on recruitment activities.
- Collaborate across the team to ensure efficient and compliant operations.
- Ensure all documentation is stored correctly and is easily accessible for audit and compliance checks.
- Regularly review processes to identify opportunities for improved efficiency and reduced administrative burden on consultants.
- Contribute ideas and feedback to enhance payroll, compliance, and reporting processes.
- Proactively source candidates through databases, job boards (Seek, Indeed, etc.), social media, LinkedIn, and referrals

- Build targeted candidate lists in the CRM and pipelines in LinkedIn Recruiter for consultants to review.
- Monitor online job ads and update the CRM with active candidate profiles.
- Contribute to building and maintaining talent pools for current and future opportunities.
- Daily candidate availability checking and updating in JobAdder
- SMS campaigns to inactive candidates / reactivation campaigns
- Tracking workers finishing assignments and redeployment opportunities
- Running weekly availability lists for consultants
- Support consultants by sending initial connection requests and messages on LinkedIn/social platforms.
- Speak with candidates to qualify and pre register, send onboarding forms and documents and schedule interviews with consultant.
- Assist with gathering additional information or documentation from candidates when requested by consultants.
- Keep candidates warm and engaged under the direction of consultants.
- Screening CV’s against role requirements
- Formatting resumes into employer templates
- Prepare candidate profiles/snapshots for submission
- Conduct reference checks (as trained)
- Scheduling candidate interviews with consultants and clients
- Sending interview reminders and confirmations
- Candidate follow-ups after interviews
- Client Follow ups after interviews i.e Outcomes

- Managing response inbox for job ads and filtering applicants
- Building and maintaining prospect hitlists in CRM
- Researching client companies (LinkedIn, Google)
- Preparing BD reports and lists for consultants
- Drafting BD outreach messages (emails, LinkedIn)
- Data entry of leads and prospects into CRM
- Assisting with client market mapping projects
- Provide consultants with pre-sourced and pre-screened candidate lists for open roles.
- Assist consultants in shortlisting by tagging and categorising candidates in the CRM.
- Prepare draft candidate profiles in CRM or LinkedIn Recruiter for consultant review.
- Assist with scheduling interviews, assessments, or site visits as required.
What We're Looking For
Essential- Previous experience in recruitment, HR, administration roles.
- Experience supporting recruitment for blue-collar, construction, property, trades, labour hire, or site-based roles.
- Must be amenable to working an early morning shift from 4:00 AM to 1:00 PM PHT
- Strong organisational and time management skills.
- Excellent written and verbal communication skills in English.
- High attention to detail and ability to manage multiple tasks accurately.
- Strong candidate communication and stakeholder coordination skills.
- Experience maintaining records, trackers, databases, or CRM/ATS platforms.
- Proficiency with Microsoft Office tools, particularly Outlook, Word, and Excel.
- Ability to work independently and collaboratively within a remote team environment.
- Comfortable supporting varied recruitment operations tasks, including scheduling, documentation, follow-ups, candidate engagement, and reporting.
- Experience supporting recruitment or talent acquisition teams in a fast-paced agency, labour hire, or staffing environment.
- Familiarity with candidate sourcing, CV screening, pre-registration, and interview coordination.
- Experience using recruitment systems or ATS/CRM platforms such as JobAdder.
- Exposure to onboarding, compliance documentation, timesheet follow-ups, or payroll administration.
- Experience tracking licences, tickets, references, and candidate compliance requirements.
- Experience preparing candidate profiles, candidate snapshots, reports, mailers, or basic recruitment documentation.
- Familiarity with LinkedIn Recruiter, SEEK, Indeed, or similar sourcing platforms.
- Experience using productivity, reporting, Canva, or AI-assisted tools is a plus.
