WFH Bookings Administrator

We are looking for a highly detail-oriented and intelligent Bookings Administrator to support our scheduling operations. In this role, you will be responsible for reviewing, verifying, and ensuring the accuracy of bookings, communicating clearly through email, and following set procedures and protocols.

This role plays a crucial part in maintaining efficiency, minimizing scheduling errors, and supporting the overall success of our operations. This role may also involve making or receiving calls and handling other administrative tasks as necessary.

Responsibilities:

  • Review and cross-check booking schedules to ensure accuracy and completeness
  • Coordinate with tenants and auditors to confirm appointments and site visits
  • Identify and resolve scheduling conflicts or incomplete booking details
  • Send clear and professional email communications to clients, tenants, or internal teams
  • Make or receive calls as needed to confirm or clarify booking information (e.g., when tenants are unresponsive or rescheduling)
  • Follow established workflows, scripts, and checklists precisely
  • Maintain accurate and updated booking records in the system
  • Collaborate with team members to ensure smooth scheduling and service delivery
  • Support with other administrative or reporting tasks as required
  • Day-to-day assistance where needed

Qualifications:

  • Strong attention to detail and accuracy in reviewing information
  • Excellent written and verbal communication skills (comfortable speaking with foreign clients or tenants)
  • Professional and confident phone manner — willing to make outbound calls when needed
  • Ability to follow directions, established processes, and documentation with precision
  • Quick learner — able to grasp booking systems, scripts, and procedures easily
  • Comfortable working in a target-driven and fast-paced environment
  • Knowledge of Australian suburbs or locations is a plus, but not required

System Knowledge:

  • Intermediate Microsoft knowledge required: Excel, Word, Teams, Outlook
  • Other system/software (a plus): Salesforce
