Job Description

As a Customer Service Coordinator, you'll support quote generation, purchase order entry, and sales operations while ensuring seamless communication across global teams. You'll be the bridge between departments, vendors, and customers-making every detail count in a fast-paced, collaborative environment.

The Qualifications We Seek
  • 2 to 3 years of experience required
  • Above average math and critical thinking skills required
  • Must be able to communicate and interface with internal teams and external partners effectively via phone, e-mail, or face-to-face as required
  • Must be able to effectively manage multiple items/issues/requests simultaneously and prioritize accordingly
  • Exceptional attention to detail, organization, time management, and follow-through skills
  • Excellent verbal and written communication skills
  • Ability to maintain a high level of professionalism under tense situations
  • Excellent computer skills (Outlook, Word, Excel) and ability to learn new programs easily
  • Intermediate/Advanced Excel skills required, including the ability to understand and manipulate formulas and functions such as VLOOKUP
Your Daily Tasks
  • Review request for quotes to determine if special pricing is warranted
  • Research all previous quote history and use as guideline to establish pricing
  • Conference with Sales Team, escalating to the appropriate management level, to customize quote proposals
  • Interface with corporate counterpart to obtain special cost/pricing as required
  • Ensure approvals are obtained in accordance with management direction and established policies & procedures
  • Finalize quotes in a timely manner, meeting all required deadlines and distributing to all applicable parties
  • Support Customer Service Administrators as needed during periods of transition, when admins are out on vacation, or when there is an overflow of work
  • Purchase order entry via our ERP system
  • Stock checks
  • Open order reports
  • Pull in/push out order requests
  • Forecast entry
  • Provide ASNs once orders have shipped
  • Support Sales Administrators as needed during periods of transition, when admins are out on vacation, or when there is an overflow of work
  • Receive and process sample requests within multiple systems. Corresponds with Japan colleagues on sample order status
  • Perform research and submit approval recommendation of distributor design registrations (DR) based on established policies and guidelines
COMMUNICATION, INTERFACE, TEAMWORK
  • Build and maintain close relationships with all Hirose personnel, business partners, and customers in order to provide the best service possible and to ensure company objectives are achieved
  • Create and support a collaborative team environment at all levels within the company
  • Employees must complete their tasks per ISO9001-2015 requirements, when applicable
