About the Role
We are seeking a highly professional and personable Client Relationship & Appointment Coordinator to support a busy mortgage professional. This role focuses on nurturing existing client relationships, conducting proactive outreach, identifying new opportunities, and booking qualified appointments.
The ideal candidate is confident speaking with clients, has excellent English
communication skills, and enjoys building relationships over the phone. This is not a cold- calling role. You will be contacting an existing database of clients to schedule annual mortgage reviews and uncover opportunities for additional mortgage and financial discussions.
Key Responsibilities- Contact existing clients by phone, email, and text message
- Schedule annual mortgage review appointments
- Identify clients interested in discussing refinancing, renewals, debt consolidation, investment properties, home purchases, and other mortgage-related opportunities
- Book discovery meetings for the mortgage agent
- Maintain accurate notes and follow-up activities within CRM systems and spreadsheets
- Manage appointment scheduling and calendar coordination
- Follow up with past clients and prospects as directed
- Provide general administrative support
- Prepare and maintain client records and databases
- Assist with reporting and tracking outreach activities
- Excellent spoken and written English
- Strong phone presence and communication skills Comfortable building rapport with clients over the phone
- Previous customer service, appointment-setting, telesales, or mortgage industry experience preferred Strong organizational and follow-up skills
- Proficiency with Microsoft Excel and Microsoft Word Ability to work independently with minimal supervision
- Reliable internet connection and professional home office setup
- Mortgage, real estate, banking, insurance, or financial services experience
