Position Overview:
The Sales Coordinator provides administrative support to the sales team to ensure smooth operations and effective execution of sales strategies for BE Hotels and Resorts. The role requires an organized and detail-oriented individual to assist in managing client inquiries, drafting proposals, maintaining accurate records in the BHR Sales CRM system, and coordinating with property sales and events teams.

The Sales Coordinator works closely with the team to ensure timely follow-ups, tracking of sales activities, and assisting with client proposals and contracts.

Key Responsibilities:
  1. Sales Support
Provide administrative assistance to the sales team by preparing sales proposals and contracts (keeping event logs updated in the system).
Maintain and update sales leads, client databases, and booking information in the CRM system.
Assist in tracking and monitoring sales targets to ensure goals are on track.
  1. Event and Group Booking Coordination

Coordinate event and group bookings with property sales and events teams.

Prepare contracts and Banquet Event Orders (BEOs) when needed.
Assist with venue availability and booking blocks to keep records updated.
Prepare BEOs and internal documentation for internal teams.
  1. Sales Administration and Reporting
Prepare and distribute reports (weekly, monthly, quarterly) to track sales performance and key metrics.
Assist with meeting presentations and materials for client meetings, sales calls, and events.
Maintain organized records of sales activities, contracts, and client interactions for follow-ups.
  1. Client Relationship Management
Support the sales team in nurturing and maintaining relationships with existing clients and key accounts.

Ensure high-quality customer service is provided by liaising between clients and various hotel departments

Assist in organizing follow-up activities to ensure customer satisfaction and build loyalty.5. Marketing and Promotions6. Internal Communication and Coordination7. Help organize and execute promotional events, trade shows, and client meetings.
Ensure the sales team has the necessary marketing materials and product information to effectively promote the hotel’s services.
Liaise with property operations, front desk, and internal teams to ensure all client requirements are met and delivered to standard.
Facilitate seamless communication across departments to meet customer expectations and ensure smooth operations.
Coordinate with the marketing team to ensure that promotions, packages, and other offerings align with sales strategies.
Manage scheduling, filing, and other administrative duties as needed to support the sales department.
Organize travel arrangements and logistics for the sales team when necessary.
Strong communication skills (both written and verbal).
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and CRM software.
Excellent organizational and multitasking abilities.

Qualifications/Requirements

Qualifications:

  • Bachelor’s degree in Hospitality, Marketing, Business Administration, or a related field is preferred.
  • At least 1-2 years of experience in events coordination, hotel sales, or a related role.
  • Strong communication and interpersonal skills, with the ability to build rapport with diverse clients.
  • Excellent organizational and multitasking abilities, with keen attention to detail.
  • Proficiency in Microsoft Office and familiarity with event management software is a plus.
  • Willingness to work on-site at the resort property in Punta Engaño, Mactan, Cebu.
  • Ability to start immediately is highly preferred.
