- Assist in managing and coordinating daily operational tasks such as order processing, logistics coordination, and inventory management to ensure efficient workflows.
- Serve as the primary point of contact for vendors, and business partners. Provide timely communication on order statuses, shipping updates, and any operational issues.
- Work closely with logistics teams to ensure the timely and accurate delivery of goods. Track shipments, monitor delivery schedules, and resolve any issues that may arise during transit.
- Oversee the entire order process, from receipt of orders to shipment and delivery. Ensure that orders are processed accurately and efficiently, and assist with follow-ups as needed.
- Ensure all necessary documentation for trade and logistics operations is completed accurately and in compliance with both internal policies and international regulations. This includes export/import documentation, customs clearance, and shipping documents.
- Assist in maintaining accurate inventory levels, monitor stock movements, and ensure proper storage and timely replenishment of products.
- Collaborate with sales, marketing, and finance teams to ensure smooth operations across the organization. Address any cross-departmental issues that may impact the operational flow.
- Proactively address any operational challenges such as shipment delays, inventory discrepancies, or customer complaints, ensuring that issues are resolved in a timely and professional manner.
- Maintain strong relationships with ensuring they receive excellent service. Address any concerns or issues they may have with their orders or deliveries.
- Prepare and maintain operational reports, including order status, inventory levels, and delivery timelines. Analyze data to provide insights into operational performance and identify areas for improvement.
- Assist in identifying and implementing process improvements to enhance operational efficiency, reduce costs, and improve customer satisfaction.
Qualifications/Requirements
Language Skills: Must be excellent in oral, writing and reading skills in English and Mandarin Language.
Experience: With or without experience in an operations or logistics coordinator role, preferably in the trading, supply chain, or international business industry.
Skills & Knowledge:
- Strong understanding of operations, order management, and logistics coordination.
- Familiarity with trade documentation and compliance processes.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Experience with enterprise resource planning (ERP) or inventory management software is a plus.
- Excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
- Strong communication and problem-solving skills.
- Ability to work independently and as part of a team.
