Reports To: Project Manager

Job Summary:

The HR/Admin Assistant provides support in both human resources and administrative functions to ensure smooth daily operations of the construction project. This role involves handling employee records, assisting in recruitment, coordinating with site staff, and managing office administrative tasks.

Key Responsibilities:

Human Resources Functions:

  • Assist in recruitment activities (coordinating with PESO, scheduling interviews)
  • Support onboarding and orientation of new employees (project-site)
  • Monitor daily timekeeping of staff and send to head office for payroll preparations.
  • Assist in employee relations and address basic HR inquiries
  • Assist during labor inspections by preparing required documents, organizing employee records, and coordinating with inspectors.

Administrative Functions:

  • Provide assistance to the Project Manager.
  • Provide general administrative support to the project/site team
  • Manage office supplies and ensure availability of necessary materials
  • Prepare reports, memos, and correspondence
  • Maintain filing systems (both physical and digital)
  • Coordinate logistics such as accommodation, transportation, and meetings
  • Handle incoming and outgoing documents

Qualifications:

  • Bachelor’s degree in Human Resource Management, Business Administration, or related field
  • At least 1–2 years of experience in HR and administrative roles (construction industry experience is an advantage)
  • Knowledge of Philippine labor laws and government statutory requirements
  • Proficient in Microsoft Office (Word, Excel, PowerPoint)
  • Strong organizational and multitasking skills
  • Good communication and interpersonal skills
  • Willing to be assigned on-site (Concepcion, Iloilo)
