Job Summary:
The Administrative Staff is responsible for providing administrative and clerical support to ensure smooth day-to-day operations of the construction project and office. The position handles documentation, reports, coordination, attendance monitoring, record keeping, and communication between site personnel, management, clients, and suppliers.
- Duties and Responsibilities:
- Assist the HR Assistant in preparing and submitting weekly and monthly attendance reports for payroll processing.
- Coordinate with project engineers, supervisors, HR, accounting personnel, suppliers, and subcontractors regarding administrative concerns.
- Handle incoming and outgoing emails, phone calls, and official correspondence.
- Maintain accurate inventory records and monitor availability of office supplies.
- Assist in processing payroll-related documents, leave applications, overtime requests, and manpower requests.
- Ensure proper filing, organization, and safekeeping of confidential company and project records.
- Support management in daily administrative and operational activities.
- Perform other tasks that may be assigned by management from time to time.
- Assist and coordinate the opening of BDO Unibank payroll or bank accounts for newly hired employees, including preparation and submission of required documents, coordination with bank representatives, and monitoring of account application status.
Qualifications:
- Graduate of Business Administration, Office Administration, or any related course.
- With experience in construction administration is an advantage.
- Knowledgeable in Microsoft Office Applications (Excel, Word, Outlook).
- Good communication and organizational skills.
- Ability to work under pressure and handle multiple tasks.
- Trustworthy, detail-oriented, and highly organized.
