Your Role as Payroll Specialist
The Payroll Specialist is responsible for the accurate, timely, and compliant processing of employee payroll, benefits, and related disbursements. This role requires a strong understanding of Philippine labor laws, tax regulations (BIR), and social security contributions (SSS, PhilHealth, Pag-IBIG).The Payroll Specialist also handles employee inquiries regarding compensation and maintains accurate payroll records.
Key Responsibilities:
Payroll Processing:
- Collect, verify, and process timesheets, attendance records, and other payroll-related data (e.g., leaves, overtime, bonuses, commissions).
- Calculate wages, salaries, allowances, and other forms of compensation.
- Accurately compute and process deductions for taxes (income tax, withholding tax), government mandated contributions (SSS, PhilHealth, Pag-IBIG), loans, and other company-specific deductions.
- Generate and process payroll, ensuring timely disbursement of salaries to employees through various payment methods (e.g., bank transfers, checks).
- Prepare and issue pay slips/earnings statements to employees.
Compliance and Reporting:
- Ensure compliance with all relevant Philippine labor laws, such as the Labor Code of the Philippines, minimum wage laws, and other statutory requirements.
- Prepare and submit accurate and timely reports to government agencies (e.g., BIR Form 1601-C, Alphalist, SSS R-3, PhilHealth RF-1, Pag-IBIG MCR).
- Stay updated on changes in payroll-related laws, regulations, and industry best practices in the Philippines.
Record Keeping and Reconciliation:
- Maintain organized and confidential payroll records, including employee master data, compensation details, deductions, and payment histories.
- Perform regular reconciliation of payroll accounts and resolve any discrepancies.
- Assist in internal and external audits related to payroll.
Employee Support:
- Respond to and resolve employee inquiries and concerns regarding salaries, deductions, benefits, and other payroll-related matters in a professional and timely manner.
- Provide clear explanations of payroll policies and procedures to employees.
System Management and Improvement:
- Input and update employee data into Sprout payroll and HR information systems (HRIS).
- Assist in testing and implementing payroll system upgrades or new functionalities.
- Identify opportunities for process improvements and automation within the payroll function.
Collaboration:
- Collaborate effectively with HR, Finance and Accounting, and other departments to ensure seamless coordination of payroll activities.
Requirements
Qualifications:
- A Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
- Solid experience in payroll processing, ideally in the Philippine setting, and handling high-volume or high-headcount payroll.
- Deep knowledge of PH labor laws, BIR tax rules, SSS, PhilHealth, and Pag-IBIG.
- Skilled in using payroll systems (Sprout experience is a plus!) and Microsoft Excel.
- Sharp numerical and analytical skills, with a high level of attention to detail.
- Proven ability to handle sensitive information with professionalism and discretion.
- Strong communication skills—both English and Filipino, written and verbal.
- Able to work independently and collaboratively, managing time and priorities like a pro.

- A certification in payroll (like CPP™)
- Experience using HRIS or payroll software
