The Operations Mall Secretary provides administrative and operational support to ensure the smooth and efficient functioning of mall operations. This role handles daily documentation, coordinates with internal departments and tenants, manages communications, and supports compliance efforts aligned with mall policies and standards.

Key Responsibilities
  • Manage and organize operational documents, reports, and correspondence.
  • Assist in scheduling meetings, preparing agendas, and recording minutes.
  • Maintain updated records of tenant contracts, permits, and compliance documents.
  • Coordinate communication between the Operations Department and other units (e.g., Leasing, Security, Maintenance).
  • Monitor daily activity reports and escalate issues to the Operations Manager as needed.
  • Facilitate follow-up on pending tasks and ensure timely completion.
  • Handle filing systems, inventory logs, and document archiving.
  • Support preparation of operational reports and presentations.
  • Liaise with tenants regarding operational matters, such as mall guidelines and notices.
  • Assist in processing work orders, billing queries, and operational memos.
Qualifications
  • Bachelor’s degree in Business Administration, Management, or a related field
  • At least 2-3 years of experience in administrative or operations support; mall or retail experience preferred
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Proficiency in Microsoft Office tools and basic document management systems
  • Familiarity with mall operations, safety protocols, and tenant coordination is a plus
