The Travel Closing Specialist is responsible for converting warm, high-intent leads into confirmed bookings. When a customer receives a hotel quote but does not complete the transaction, this role steps in to engage, address concerns, and close the sale.
This is a sales-focused role, not customer service.
Purpose of the Role
Customers receive personalized hotel quotes through an AI-powered system. A portion of these customers will not immediately proceed with payment.
The Travel Closing Specialist is responsible for contacting these undecided customers within 2 hours of quote generation, conducting a structured closing call, and converting them into confirmed bookings.
Core KPI: Close 1 out of every 10 undecided customers.
Key Responsibilities- Monitor the Undecided Customer Pipeline in Notion for newly assigned leads
- Contact undecided customers within 2 hours of quote generation
- Execute a structured “Undecided Customer Close Call” framework
- Handle objections effectively (price, timing, competitors, indecision)
- Guide customers through the deposit payment process
- Accurately log all call outcomes in the pipeline:
- Called
- Follow-up Scheduled
- Closed Won
- Closed Lost
- Clearly document lost reasons:
- Price
- Chose Competitor
- Timing
- No Response
- Changed Plans
- Other
- Make a maximum of 3 contact attempts per customer before marking as Closed Lost
- Schedule and complete follow-up calls when needed
- Ensure no pipeline record is left without action for more than 24 hours
- Escalate post-booking concerns to the support team
Skills & Experience Required
Essential- Proven experience in outbound sales or phone-based closing
- Strong verbal communication — confident, engaging, and persuasive
- Comfortable working with conversion targets and call volume KPIs
- Ability to handle objections professionally without being pushy
- High attention to detail (accurate data logging in Notion or CRM)
- Self-driven with strong time and pipeline management skills
- Tech-savvy (Notion, Messenger, CRM tools)
- Background in travel, tourism, or hospitality sales
- Experience working with Asia-Pacific customers
- Familiarity with hotel products, room types, and brand tiers
- Understanding of AI-generated quotes or booking systems

Working Environment- All leads are inbound and pre-qualified — no cold calling
- Customers have already shown interest and received a quote
- Pipeline is managed in Notion with pre-filled customer details
- Calls are outbound but warm
- Workload may vary based on campaign activity; flexibility is expected
- Do not contact a customer more than 3 times without an agreed follow-up
- Log every interaction before ending your shift
- Never process or accept payments outside the approved payment system
- Maintain a respectful, consultative approach — no aggressive sales tactics
