About the role

Here in Wee Comm Magnum Properties, Inc., an Admin Associate plays a vital role in keeping a real estate company organized, efficient, and operational on a daily basis. They serve as the backbone of administrative support, ensuring that internal processes, documentation, coordination, and communication run smoothly across different departments and projects.

What you'll do
  1. Organizing and maintaining office supplies, equipment’s, and facilities
  2. Ensure that the environment is clean, organized, and conducive to productivity.
  3. Perform general clerical duties such as answering phones, taking messages, and handling correspondence.
  4. Organize and maintain filing systems, both physical and digital, ensuring easy access and confidentiality of documents.
  5. Input and update data in various systems, databased, and spreadsheets.
  6. Maintain accurate records of department’s activity, expenses, and other relevant data.
  7. Provide administrative support to specific departments or teams as needed.
  8. Ensure that the office procedures comply with company policies and regulations.
  9. Update and enforce administrative policies and procedures as required.
  10. Dispatching or deliver office supplies to various departments.
  11. Perform any other duties assigned by Officer, Supervisor, Manager and Head.
  12. Preparation of Request for Payment (RFP) as per needed.
  13. Creation of work permits and gate pass
  14. Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  15. Take accurate minutes of meetings
  16. Timely sending of reports
  17. Reportorial
  18. Raise issues to Officer, Supervisor, Manager and/or Head.
  19. Ensure quick to reply to email, telephone, or face-to-face inquiries.
  20. Preparation of Request for Payment (RFP) based on RFP tracker and other request for payment.
  21. Assist with special projects as needed.
What we're looking for
  • Graduate with a Bachelor's Degree in Office Administration, Business Administration, or any related field.
  • With at least two (2) years of related working experience
  • Excellent communication skills and a team player
  • Highly organized, detail-oriented, and able to multitask
  • Excellent analytical, problem-solving, and management skills.
  • Proficient in the use of Microsoft Office applications
  • Willing to start as soon as possible
