Position Overview
We are hiring an Operations and Administrative Assistant to help ensure smooth day-to-day operations. This position will be responsible for organizing job order schedules, handling routine administrative tasks, and monitoring employee activities and performance at project sites.
Open to Male or Female applicants. Preferably residing near Tayud, Consolacion, Cebu.
Key Responsibilities- Job Order Scheduling
- Organize and maintain daily and weekly job order schedules for shipbuilding and repair projects.
- Coordinate assignments between Garreth Marine Services and Fortune Shipworks Inc.
- Distribute job orders to supervisors/Heads and field staff and ensure timely completion.
- Track job progress and update records to reflect current status.
- Administrative Tasks
- Maintain accurate records including employee timesheets, job logs, and service documentation.
- Process purchase requests and track material inventory used for each job order.
- Handle incoming calls, emails, and documentation related to project coordination.
- Assist in payroll preparation by submitting verified timekeeping data.
- Organize physical and digital files for HR, operations, and compliance purposes.
- Employee Monitoring
- Monitor daily attendance, punctuality, and task completion of assigned employees.
- Conduct periodic field checks to ensure compliance with safety standards and work quality.
- Submit daily reports on workforce deployment, output, and any issues encountered.
- Coordinate shift schedules, breaks, and manpower adjustments as needed.
- High school graduate or equivalent; additional training or a degree in Business Administration or a related field is an advantage.
- At least 1 year of experience in administrative support or field operations (preferably in shipbuilding Ship repair or construction).
- Proficient in Microsoft Office applications (Word, Excel, Outlook).
- Strong organizational and multitasking skills.
- Good communication and interpersonal abilities.
- Able to work independently and under pressure in a fast-paced marine environment.
