The Administrative Assistant will be responsible for overseeing day-to-day administrative operations and supporting the billing and collection process. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively.

Key Responsibilities:

  • Handle general administrative tasks, including maintaining files, records, and documentation.
  • Manage office supplies, equipment, and inventory to ensure smooth office operations.
  • Prepare and process billing statements and invoices accurately and timely.
  • Monitor outstanding accounts and follow up with clients for payment collection.
  • Reconcile accounts and ensure accuracy in billing and collection records.
  • Respond to client inquiries and resolve billing discrepancies promptly and professionally.
  • Assist in preparing financial and administrative reports as required.
  • Coordinate with the Finance and Accounting teams to ensure proper recording of payments and collections.
  • Provide administrative support to other departments as needed.
  • Ensure compliance with company policies and procedures in all administrative and billing activities.
Qualifications/Requirements
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and business software applications.
  • Strong analytical and problem-solving skills with keen attention to detail.
  • Excellent organizational and time management skills.
  • Strong communication and interpersonal skills.
  • High level of professionalism and discretion in handling sensitive information.
  • Ability to work independently and manage multiple tasks effectively.
  • Experience with billing and collection systems is an advantage.
