AI Automation & Strata Administration Specialist | Australian Client | Remote
We are looking for a full-time AI Automation & Strata Administration Specialist to help improve internal systems, reduce manual processes and support day-to-day strata administration.
This role is approximately 50% AI automation and workflow design and 50% strata administration.
About the Role
You will identify repetitive tasks, build AI-assisted workflows and support the delivery of practical automation improvements across the business. You will also assist with strata administration, owner correspondence, meeting documents, compliance records and portfolio support.
Key Responsibilities- Build and maintain workflows using tools such as Monday.com, Zapier, Make or similar.
- Create AI-assisted systems for email routing, meeting notes, site visit reports and document generation.
- Improve manual processes using AI tools such as ChatGPT, Claude or similar.
- Document workflows clearly so they can be maintained by others.
- Manage emails, owner enquiries and contractor communication.
- Prepare correspondence, notices, agendas, minutes and compliance documents.
- Update strata management systems, databases and filing records.
- Support invoice processing, levy notices, arrears follow-up and general portfolio administration.
About You
You are detail-focused, organised and confident using AI and automation tools to solve practical business problems. You can work independently in a remote environment and communicate professionally with owners, contractors and internal teams.
Required Skills- Experience using AI tools such as ChatGPT, Claude or similar.
- Experience with workflow automation tools such as Monday.com, Zapier or Make.
- Strong written English and professional communication skills.
- High attention to detail and ability to review AI-generated work carefully.
- Ability to document systems and manage competing priorities.
- Strata, property management or real estate administration experience.
- Experience with CRM systems, APIs or data auto-population workflows.
- Knowledge of Australian strata or body corporate processes.
- Basic coding or scripting skills.
