Client Overview:

Stephanie is an amazing and bubbly entrepreneur who owns a photography studio. She is looking for an equally cheerful unicorn to manage various aspects of her business and personal tasks.

Client Requirements:

  • Must be able to work 40 hours weekly
  • Must be able to work 8am to 5pm Eastern Time (US)
  • Strong written and verbal communication (clear, responsive, professional)
  • Highly organized, detail-oriented, and proactive
  • Able to manage multiple priorities independently
  • Takes ownership of tasks without needing constant direction
  • Comfortable making decisions within defined guidelines
  • Strong problem solver who anticipates needs and creates systems
  • Experience with social media execution required
  • Comfortable supporting across multiple areas (marketing, operations, personal tasks)
  • Thinks like an owner, not just an assistant

Responsibilities/Tasks:

Must-Have Experience (Responsibilities You Must Be Proficient In):

These are the tasks the VA needs to handle independently and confidently from day one:

Executive, Administrative, and Business Support:

  • Manage and prioritize task lists to keep daily business activities running smoothly (Trello or similar tools preferred)
  • Calendar management for business and personal schedules
  • Schedule and coordinate appointments, meetings, and commitments
  • Follow up on tasks and ensure deadlines are met
  • Coordinate with team members, vendors, and contractors
  • Maintain organized files, documents, and systems
  • Identify inefficiencies and help improve internal workflows
  • Take initiative in solving problems and keeping things on track

Personal & Household Support:

  • Manage personal scheduling (family, medical, and appointments)
  • Coordinate household vendors and services
  • Order and track supplies for both home and business
  • Ensure Stephanie’s schedule is realistic, organized, and optimized

Social Media & Content Execution (Execution-Focused):

  • Schedule and post content across platforms according to content calendar
  • Repurpose provided content into reels, posts, and stories
  • Engage with followers, respond to comments and DMs, and maintain relationships with past clients
  • Maintain and organize content library and calendar
  • Ensure consistency in brand voice and presentation
  • Monitor performance and flag what is working well for potential optimization

Rental Property Support:

  • Manage guest communication using templates (inquiries, bookings, follow-ups)
  • Coordinate cleaners and turnovers
  • Monitor bookings and proactively flag gaps or issues
  • Track inventory and reorder supplies as needed
  • Ensure a smooth and high-quality guest experience

Nice-to-Have Experience (Responsibilities You Can Learn Over Time):

  • Monitor social media ads performance
  • Pause underperforming ads and scale strong performers
  • Track and report basic metrics (cost per lead, engagement, etc.)
