Job Summary
RemoteVA are seeking a highly organized and detail-oriented Administrative Assistant to provide daily administrative support and ensure smooth office operations. The ideal candidate is experienced in QuickBooks, has excellent communication skills, and is comfortable handling bookkeeping tasks, answering phone calls, managing emails, and assisting with general administrative responsibilities.This role requires someone who is dependable, proactive, and able to multitask in a fast-paced environment.
Key Responsibilities- Manage and maintain daily administrative tasks and office operations.
- Answer and direct incoming phone calls professionally and courteously.
- Monitor, respond to, and organize emails in a timely manner.
- Perform basic bookkeeping functions using QuickBooks, including:
- Entering invoices and bills
- Recording payments and expenses
- Maintaining accurate financial records
- Assisting with account reconciliation as needed
- Organize and maintain digital files and company documents.
- Prepare reports, spreadsheets, and other administrative documents.
- Schedule appointments and coordinate meetings when required.
- Assist with data entry and ensure the accuracy of company records.
- Support management with additional administrative tasks and special projects as assigned.

- Proven experience as an Administrative Assistant or in a similar administrative role.
- Required: Hands-on experience using QuickBooks.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
- Excellent verbal and written English communication skills.
- Strong organizational and time management abilities.
- High attention to detail and accuracy.
- Ability to prioritize tasks and work independently with minimal supervision.
- Professional phone etiquette and customer service skills.
- Reliable internet connection and a quiet remote work environment.
- Previous experience with bookkeeping or accounting support.
- Experience working remotely with U.S.-based companies.
- Ability to handle confidential information with professionalism and discretion.
