The Technical Administrative Assistant provides administrative and operational support to the Technical Department, ensuring that documentation, communication, scheduling, and records are well-organized and up to date.

Key Responsibilities:

Administrative Support
  • Provide day-to-day administrative assistance to the Technical Department.
Document Control
  • Maintain and organize technical documents, manuals, service reports.
  • Ensure documents are properly filed, updated, and distributed.
  • Monitor document revisions and maintain version control, if applicable.
Scheduling and Coordination
  • Coordinate meetings, inspections, and technical activities.
  • Maintain the department's calendar and appointment schedules.
Data Management
  • Update databases, spreadsheets, and tracking systems.
  • Prepare regular reports on department activities, project status, and key performance indicators (KPIs).
  • Ensure records are accurate and confidential.
Coordination with Other Departments
  • Liaise with Operations, Maintenance, HR, Finance, Procurement, and other departments regarding technical requirements.
  • Assist in coordinating project documentation and approvals.
Compliance Support
  • Assist during internal and external audits by preparing required documentation.
  • Ensure department records comply with company policies and management system requirements (e.g., ISO 13485, ISO 14001).
Inventory and Asset Monitoring
  • Monitor spare parts and technical equipment assigned to the department.
  • Coordinate repair, calibration, or replacement of equipment when required.
Other Duties
  • Assist the Field Service Engineers in special projects and administrative tasks.
  • Perform other duties assigned by management.
