Job Summary
The Admin Assistant provides administrative support in the processing, documentation, and monitoring of buyer accounts. Ensures accurate preparation, routing, filing, and safekeeping of Contracts to Sell (CTS) and other related documents while maintaining compliance with company and regulatory requirements.
Key Responsibilities- Prepare and organize Buyer’s Folders, including printing and labeling
- Process Contracts to Sell (CTS): printing, collation, routing for signatures, and notarization
- Monitor CTS status and follow up lacking requirements with sellers/buyers
- File and maintain documents, ensuring proper safekeeping and record accuracy
- Assist in TIN verification requirements (BIR 1904, IDs, RA)
- Handle design layout requests and monitor progress
- Support audit compliance requirements as needed
- Validate SEF records and update early move-in accounts
- Coordinate document dispatch via courier, email, or showroom
- Bachelor’s degree in business administration or related field
- At least 1 year of administrative experience (real estate experience is an advantage)
- Detail-oriented with strong organizational and documentation skills
- Proficient in MS Office applications
- Good communication and coordination skills
- Able to handle multiple tasks and meet deadlines
