Parts Management Specialist (WFH)
Job Description:
- Review Original Equipment Manufacturer (OEM) and vendor documentation to establish a comprehensive list of operational, insurance, and commissioning spares.
- Review manuals to extract complete parts lists.
- Ensure extracted data matches the correct piece of equipment.
- Format and structure data to meet client requirements for system upload.
- Follow up through agreed client communication channels for missing details.
- Prepare data for upload — no direct contact with manufacturers.
- Conduct criticality assessments to determine parts requirements and optimize inventory levels.
- Collaborate with the site Procurement Team to ensure timely availability of required parts.
- Evaluate parts recommendations and requests to ensure compliance with operational needs, suitability, and criticality.
- Engage with key stakeholders and subject matter experts to validate and optimize parts management processes.
- Liaise with vendors and OEMs to establish support provisioning, including maximum/minimum levels, shelf life, criticality, and delivery timeframes.
- Deliver catalogued parts lists, including BOMs, task lists, and associated build data sheets.
- Manage the creation and modification of parts within the client’s Master Data Management (MDM) system, ensuring adherence to corporate guidelines and best practices.
- Provide regular progress reports for the company’s management on parts management activities and outcomes.
Role Accountabilities:
- Follow the company process to create accurate, clear, and high-quality technical documents.
- Demonstrate strong attention to detail to minimise errors and uphold the company's reputation.
- Maintain professional and effective communication in both written and verbal forms, ensuring clarity in all interactions with clients and internal teams.
- Exhibit a continuous improvement mindset to enhance documentation processes and overall efficiency.
- Foster positive and productive relationships within the company team, contributing to a collaborative work environment.
- Identify and escalate potential risks or issues that may impact project quality, scope, or timelines.
- Uphold company and client confidentiality standards by handling sensitive information with discretion and professionalism.
Qualifications:
- Bachelor’s degree in Engineering, or any related field.
- Experience in parts management, materials planning, or maintenance support.
- Knowledge of Bills of Materials (BOMs), and maintenance documentation.
- Familiarity with OEM standards and vendor documentation.
- Strong understanding of cataloguing, stock classification, shell life, and parts lifecycle.
