IT Admin Executive Assistant

The role manages and provides administrative support to the IT Director and assists with financial and administrative work for the IT Division. The role also provides guidance and support to other teams to ensure they perform their duties effectively.
Responsibilities:
- Provide administrative functions to the IT Director, including schedules, official business functions, and management of documents, files, meeting rooms, travel, and reports
- Provide administrative functions as Team Support to the IT Division, such as onboarding checklists, division monthly/yearly activity support, and organizational chart updates
- Ensure accurate and timely responses to inquiries regarding IT Division administration
- Assist team members with financial functions when needed, including report preparation, CAPEX and OPEX requests, budget tracking, and inquiries on spending and status
- Ensure audit compliance with the company’s Non-Trade Procurement Policy
- Bachelor’s degree in Business Administration, Information Technology, Finance, or related field
- 1–2 years of experience in administrative or financial support roles, preferably within IT or corporate environments
- Strong ability to coordinate with internal and external partners and customers
- Skilled in training and coaching team members on IT administration processes
- Proficient in preparing and reporting validated IT CAPEX and OPEX budgets, including reconciliation, accruals, and proper expense charging
- Able to identify potential risks through impact analysis, implement measures, and escalate issues appropriately
- Excellent communication, organizational, and problem-solving skills
- Proficient in MS Office Suite and familiarity with IT systems or ERP tools
