Accounting Associate (AOM-111)

About the Role
As an Accounts Associate, you will play an essential role in reporting to the General Manager, you will be expected to undertake the general administration of the business to ensure operational, management and other key functions of the business can operate effectively and efficiently.
What you'll be working on:
- Support the preparation of weekly cashflow forecasts and ensure financial reporting requirements are completed on time
- Handle accounts payable, accounts receivable, and reconciliations (bank and credit card)
- Monitor receivables, including outstanding balances, discrepancies, and follow-ups on payments
- Ensure customer invoicing is completed accurately and on time after job/project completion
- Assist in managing retentions and bank guarantees
- Upload, code, and manage bills in Xero and Tradify
- Respond to accounts-related enquiries via phone and email in a professional and timely manner
- Communicate effectively with clients, stakeholders, staff, subcontractors, and suppliers
- Prepare and send professional emails, letters, and other correspondence as required
- Answer inbound calls in a polite and friendly manner
- Book and schedule job requests in the system and coordinate with technicians
- Set up new client information and maintain accurate system records
- Ensure all bills are uploaded and matched to the correct Purchase Orders
- Prepare weekly job reports and ensure job data and timesheets are accurate and up to date
- Process supplier invoices, compile for approval, and assist in processing or forwarding to the accountant
- Maintain records such as leave, vehicle registration, insurance, plant & equipment, and asset registers
- Prepare and send account-related correspondence to clients, technicians, or suppliers
- Complete data entry and support general administrative tasks
- Support other business tasks as required by the team
What we're looking for:
- At least 2–3 years of relevant experience, with a proactive mindset and a willingness to learn and grow.
- Excellent verbal and written communication skills
- Possess account management skills
- Proficiency in MS Office, particularly Excel, is essential
- Experience in handling Accounts Payable (AP) and Accounts Receivable (AR) functions
- With bookkeeping experience
- Detail-oriented with strong organizational and analytical abilities.
- Ability to work independently and collaboratively in a fast-paced environment.
- Comfortable in engaging with people.
