About the Role

Data Lake Inc. is seeking a highly organized and professional Executive Coordinator to support the Executive Committee (EXECOM)/Board of Directors.

This role will serve as the central coordination and administrative support for executive leadership, ensuring smooth communication between executives and departments, proper documentation of meetings, and efficient coordination of executive schedules, travel, and logistics.

The ideal candidate is detail-oriented, proactive, and experienced in supporting senior executives or board-level leadership.

Key Responsibilities

Executive and Board Support
  • Provide administrative and coordination support to the Board of Directors/Executive Committee (EXECOM)
  • Manage executive calendars, meetings, and leadership schedules
  • Prepare meeting agendas, presentations, and reports
  • Record Minutes of Meetings (MoM) and maintain executive documentation
  • Monitor follow-ups on executive directives and action items
Executive Coordination
  • Act as the liaison between the Board/Executives and department heads
  • Coordinate cross-departmental meetings and communications
  • Prepare internal memoranda, announcements, and executive correspondence
  • Maintain proper documentation and executive records
Travel and Logistics Management
  • Arrange executive travel and logistics, including:
  • Flights
  • Hotel bookings
  • Transportation
  • Restaurant reservations
  • Meeting venues
  • Prepare travel itineraries and schedules
Executive Mobility Support
  • Coordinate with drivers assigned to executive leadership
  • Monitor transport schedules and executive mobility requirements
Research and Executive Assistance
  • Conduct research and prepare briefing materials for executive meetings
  • Assist in preparing executive reports and presentations
  • Provide occasional personal assistance support when required
Job Qualifications
  • Bachelor’s degree in Business Administration, Management, Communications, Public Administration, or related field
  • At least 3–5 years of experience in executive support, executive assistant, or corporate secretariat roles
  • Experience supporting senior executives or board-level leadership is preferred
  • Willing to work onsite in MOA Complex, Pasay City
Skills and Competencies
  • Strong organizational and time management skills
  • Excellent written and verbal communication
  • Ability to prepare professional reports, minutes, and presentations
  • High level of confidentiality and discretion
  • Strong coordination and stakeholder management skills
  • Proficiency in Microsoft Office / Google Workspace
  • Familiarity with calendar management tools (Outlook, Google Calendar)
