Journey To Wellness is a licensed substance abuse and addiction treatment facility located in Perth Amboy, New Jersey, USA. We provide comprehensive behavioral health and co-occurring disorder treatment services to patients in recovery. We are a real, actively operating US-based facility. This is not a freelance project — we are looking for a long-term team member who will grow with us.

The Role

We are hiring a Behavioral Health Authorization Coordinator to manage the full prior authorization lifecycle, track clinical documentation deadlines, and push — hard — to make sure nothing falls through the cracks. You will work directly with our clinical and billing teams and report to facility leadership.

This is a demanding role. You will be chasing insurance companies, following up on overdue paperwork from counselors, and escalating problems before they become crises. You must be comfortable being persistent, direct, and firm — every single day.

What You Will Do

Authorization & Insurance Management
  • Submit prior authorization requests to Medicaid and commercial insurance providers
  • Track authorization statuses and follow up aggressively until approvals are received
  • Resolve authorization delays, denials, and appeals without waiting to be told
  • Communicate directly with insurance payers — you must be comfortable making calls, pushing for answers, and escalating when needed
  • Maintain accurate real-time tracking logs for all open authorizations
Clinical Documentation Tracking (NJSAMS / LOCI)
  • Track Level of Care Inventory (LOCI) due dates in NJSAMS (New Jersey's state behavioral health system)
  • Remind counselors of upcoming LOCI deadlines — proactively, repeatedly if necessary
  • Follow up persistently to ensure LOCIs are completed on time — this means chasing people, not waiting
  • Escalate to management when counselors are non-compliant with documentation requirements
  • Maintain accurate tracking reports for all open LOCI cases
General Administrative Duties
  • Escalate urgent issues to facility leadership immediately
  • Maintain organized records and documentation in compliance with US healthcare standards
  • Support billing team with authorization-related data as needed

What We Are Looking For

Required
  • Proven experience in healthcare administration, medical billing, prior authorizations, or collections — we want someone who knows how to push for results
  • Experience dealing with US insurance companies or Medicaid is strongly preferred
  • Fluent, professional English — written and spoken (you will be on calls with US insurance staff)
  • Strong organizational skills: you must be able to manage multiple open items, deadlines, and follow-ups simultaneously without dropping the ball
  • Assertive, persistent, results-driven personality — this is non-negotiable
  • Comfortable working US Eastern Time zone hours (at least partial overlap required)
Preferred (Not Required)
  • Experience in behavioral health, substance abuse treatment, or mental health settings
  • Familiarity with NJSAMS or similar state behavioral health documentation systems
  • Knowledge of US Medicaid billing and authorization workflows
  • Experience with medical billing software, EHR systems, or CRM platforms
