Accounts Receivable Associate
Job description
Duties and Responsibilities:
- Invoice Preparation and Distribution:
Generate and issue invoices to customers for goods and services provided.
Ensure invoices are accurate, complete, and delivered on time.- Payment Tracking:
Monitor and track incoming payments.
Record payments in the accounting system and ensure they are applied correctly to the respective accounts.- Customer Account Management:
Maintain and update customer account information.
Handle account discrepancies by investigating and resolving payment issues.
Reconcile customer accounts and manage any outstanding balances.- Collections:
Follow up on overdue accounts by sending reminders and contacting customers.
Work with customers to resolve payment issues and negotiate payment plans if necessary.
Escalate delinquent accounts to management or a collections agency when required.- Reporting:
Prepare regular reports on accounts receivable status, including aging reports, cash flow forecasts, and collections activity.
Assist in the preparation of monthly, quarterly, and annual financial statements.- Reconciliation:
Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
Assist in month-end and year-end closing procedures.- Customer Service:
Provide support to customers regarding their billing inquiries and account status.
Address any questions or concerns related to invoices, payments, and account balances.- Compliance and Documentation:
Ensure compliance with company policies, accounting regulations, and financial standards.
Maintain accurate and organized records of all transactions, invoices, and correspondence with customers.- Collaboration:
Work closely with the Sales, Finance, and Customer Service teams to resolve billing issues and improve processes.
Communicate effectively with other departments to ensure accurate and timely recording of transactions.- Process Improvement:
Identify opportunities for improving the accounts receivable process to enhance efficiency and reduce errors.
Qualifications:
