Job Description:

We are seeking a highly organized, sales-oriented Business Development Representative to serve as the first line of engagement for incoming customer inquiries. This role will support lead intake, qualification, customer follow-up, appraisal scheduling, non-local appraisal coordination, and CRM documentation across rare coins, precious metals, jewelry, watches, fine art, antiques, and other tangible assets.

The Business Development Representative will be responsible for capturing and responding to incoming lead flow from phone calls, website chat, lead forms, and other customer communication channels. The role is designed to improve sales team efficiency by ensuring incoming prospects are promptly engaged, accurately qualified, properly documented, and routed to the appropriate internal team.

This person does not need to be an expert appraiser, but they must be capable of asking the right questions, gathering the right information, identifying customer intent, determining whether an opportunity is worth pursuing, and escalating qualified prospects to the appropriate sales or appraisal team.

A strong sales skill set is important. The ideal candidate should be confident on the phone, comfortable guiding conversations, able to build trust quickly, and capable of turning inbound interest into scheduled appointments, properly documented opportunities, or qualified appraisal submissions.

Key Responsibilities:

Lead Intake and First Response
  • Serve as the first line of response for incoming phone calls, chat engagements, lead form submissions, and other inbound customer inquiries.
  • Respond promptly and professionally to new leads across all assigned channels.
  • Capture as much incoming lead flow as possible before calls or inquiries are routed to senior sales staff.
  • Determine the customer’s reason for contacting , including whether they are interested in selling, appraising, buying, consigning, or learning more about their items.
  • Maintain a courteous, confident, and sales-oriented tone in all customer communications.
  • Create or update customer records in the CRM with accurate, complete information.
Lead Source Attribution
  • Determine the source of each incoming lead as accurately as possible during the initial customer interaction.
  • Capture and record lead source information in the customer’s CRM contact record.
  • Identify whether the lead came from paid search, organic search, website form, phone call, chat, referral, email campaign, social media, direct traffic, repeat customer activity, or another source where known.
  • Ask appropriate follow-up questions when source information is unclear, such as how the customer found .
  • Support marketing attribution by maintaining clean and accurate source data across inbound opportunities.
Customer Qualification
  • Qualify whether the opportunity should be routed for further review, scheduled for an in-person appraisal, handled through the mail-in appraisal process, or referred to a local option.
  • Help determine whether customer-submitted items meet ’s minimum value thresholds for further evaluation.
  • For low-value opportunities, professionally guide customers toward local pawnshops, appraisers, dealers, or appropriate online selling options such as eBay.
  • Identify promising opportunities and route them to the correct internal team.
Local Appraisal Scheduling
  • Facilitate scheduling for local prospects who want to bring items in for an in-person appraisal.
  • Gather enough preliminary information to ensure the appointment is appropriate and worthwhile.
  • Coordinate with the appropriate internal team to schedule appraisal appointments.
  • Confirm appointment details with the customer, including date, time, location, contact person, and any items or documentation they should bring.
  • Update the CRM with appointment details, customer notes, and follow-up requirements.
Non-Local Appraisal Coordination
  • Support the early stages of the mail-in appraisal process for non-local customers.
  • Explain shipping, insurance, documentation, and appraisal expectations to customers.
  • Ensure customers complete the required Inventory, Disclaimer, and Liability Form before shipping items.
  • Confirm that required documentation is received and attached to the customer’s CRM record before items arrive.
  • Help maintain a clear record of customer communications, shipping status, appraisal status, and next steps.
  • Ensure customer-owned items are properly documented before they are received, appraised, stored, returned, or purchased.
Sales Development and Follow-Up
  • Use strong sales fundamentals to keep qualified prospects engaged and moving through the process.
  • Ask effective discovery questions to understand customer motivation, urgency, expectations, and potential value.
  • Build trust with customers who may be hesitant to ship items, schedule appointments, or share sensitive information.
  • Follow up with customers who have submitted forms, started chats, called, or expressed interest but have not yet completed the next step.
  • Help reduce lost opportunities by ensuring leads do not go cold due to slow or incomplete follow-up.
  • Escalate high-value or complex opportunities quickly to the appropriate sales or appraisal team.
CRM Documentation and Process Control
  • Maintain accurate and complete customer records in the CRM.
  • Add clear internal notes so marketing, sales, inventory, receiving, appraisal, e-commerce, and operations teams understand the status of each opportunity.
  • Ensure customer-submitted forms, photos, item lists, and supporting materials are organized and accessible.
  • Track lead source, customer intent, qualification status, next steps, appointment status, and appraisal status.
  • Follow SOPs related to customer-owned items, appraisal intake, consignment tracking, storage location, customer approval, and return processing.
Cross-Team Coordination
  • Coordinate with the Inventory / Receiving Team when customer items are expected to arrive.
  • Coordinate with the Ecom Team for smaller scrap metal, jewelry, and melt-value-related opportunities.
  • Coordinate with the Gallery Sales Team for rare coins, high-value items, large gemstones, fine jewelry, antiques, art, or complex appraisal opportunities.
  • Support senior sales and appraisal staff by ensuring they spend more time with qualified, higher-value opportunities and less time filtering unqualified leads.
  • Assist with follow-up communication after appraisals, including customer decision tracking and next-step coordination.

Qualification and requirements:

  • Strong verbal and written English communication skills.

  • Excellent attention to detail.
  • Ability to follow structured procedures and document activity accurately.
  • Comfortable managing phone calls, chats, forms, CRM records, and customer follow-up.
  • Ability to ask clear qualifying questions and gather complete information.
  • Strong organizational skills and ability to manage multiple customer opportunities at once.
  • Comfortable using CRM systems, lead management tools, scheduling tools, and internal communication platforms.
  • Coachable and willing to learn about rare coins, precious metals, jewelry, and other tangible assets.
  • Sound judgment and ability to recognize when an item should be escalated to an expert.
  • Professional demeanor when handling high-value or sensitive customer property discussions.
  • Reliable remote work habits, including responsiveness, accountability, and consistent availability during assigned hours.
Preferred Skills
  • Experience in business development, inside sales, customer intake, sales support, appointment setting, or customer service.
  • Experience working in a remote or offshore professional role.
  • Experience with CRM systems and pipeline management.
  • Familiarity with jewelry, precious metals, coins, collectibles, antiques, luxury goods, or appraisal-related businesses.
  • Experience handling inbound phone calls, chat inquiries, and web form leads.
  • Ability to review customer-submitted photos and item descriptions for initial qualification.
  • Comfort working with process checklists, forms, and SOPs.
  • Experience supporting marketing attribution, lead source tracking, or campaign reporting.

Ideal Candidate Profile

The ideal candidate is a confident communicator, organized operator, and capable sales development professional. They are comfortable being the first person a customer speaks with and understand that their job is to create trust, gather information, qualify the opportunity, and move the customer to the appropriate next step.

They do not need to know how to appraise rare coins, jewelry, or antiques on day one. However, they must be highly coachable, willing to learn the basics of ’s business, and able to recognize when a customer opportunity requires escalation to an expert.

This person should help protect the time of the sales and appraisal teams by capturing inbound lead flow, qualifying prospects accurately, documenting customer information thoroughly, and ensuring legitimate opportunities are moved forward quickly.
