Job Description:
This role plays a key part in ensuring the smooth day-to-day management of Owners Corporations. The successful candidate will coordinate meetings, correspondence, compliance tasks and administrative workflows while also supervising a junior assistant.
You will work closely with the Director and Facilities Manager to ensure committees, owners and contractors receive efficient and professional service.
Key Responsibilities:
- Provide senior administrative support for a portfolio of Owners Corporations
- Prepare meeting agendas, notices and minutes for committee meetings and Annual General Meetings
- Draft and manage correspondence with committees, lot owners, contractors and stakeholders
- Maintain accurate records in Urbanise including registers, correspondence and documentation
- Coordinate meeting schedules, agendas and follow-up action items
- Assist with insurance renewals, compliance requirements and general OC administration
- Monitor workflow and ensure the junior assistant is completing assigned tasks
- Track maintenance requests and coordinate with facilities management
- Support the OC Manager in responding to complex owner and committee enquiries
- Ensure administrative processes follow company procedures and statutory requirements
Qualifications and Requirements:
- Proven experience working in Australian strata / Owners Corporation management
- Experience using Urbanise and StrataVote (highly preferred)
- Excellent written and verbal English communication skills
- Strong organisational skills with high attention to detail
- Ability to manage multiple tasks and competing deadlines
- Experience supporting senior managers or stakeholders
- Ability to work onsite at the Cloudstaff office
Non-negotiable skills & requirements:
- Experience coordinating strata meetings and preparing meeting minutes
- Experience communicating with committees and property owners
- Experience supervising or mentoring junior administrative staff
- Experience working with Australian clients in a remote support role
- Experience with Urbanise and StrataVote
- Must be willing to work onsite in the Pampanga office
