Role Overview
The Employee Relations Head — Employee Discipline will lead the Employee Discipline Unit under the Human Resources Department. The role is responsible for administrative case processing, due process documentation, case tracking, and coordination with operating units, Audit, Legal, and Management.
This position requires strong knowledge of Philippine labor standards, employee relations, disciplinary documentation, and case management. The role is suited for a highly organized HR professional who can work with urgency, accuracy, discretion, and sound judgment in a high-volume environment.
Key Responsibilities- Lead the Employee Discipline Unit and manage case documentation, tracking, and follow-through.
- Review incident reports, CCTV findings, attendance records, complaints, and supporting documents.
- Identify applicable company policy provisions and recommend proper case handling.
- Draft and review Notices to Explain, preventive suspension notices, administrative conference notices, minutes, Notices of Decision, and related HR memoranda.
- Monitor employee response deadlines, pending explanations, administrative conference schedules, and final action status.
- Maintain an updated administrative case tracker covering case status, deadlines, evidence, responsible persons, and next actions.
- Coordinate with department heads, branch heads, Audit, Legal, and HR personnel on case facts, documentation, and procedural requirements.
- Prepare concise case summaries, recommendations, and management updates.
- Apply due process standards under Philippine labor law and company policy.
- Maintain proper records of disciplinary cases, notices, employee responses, decisions, and related attachments.
- Support policy implementation, employee discipline controls, and corrective action monitoring.
- Bachelor’s degree in Human Resources, Psychology, Legal Management, Political Science, Business Administration, or a related field.
- Minimum of 5 years of experience in Employee Relations, Labor Relations, Employee Discipline, HR Compliance, or HR Operations.
- At least 2 years in a supervisory, managerial, or lead capacity handling employee discipline or administrative cases.
- Strong working knowledge of Philippine labor laws, due process, employee discipline, and HR documentation.
- Experience drafting Notices to Explain, Notices of Decision, disciplinary memoranda, investigation reports, and case summaries.
- Experience handling administrative conferences, employee complaints, grievances, and disciplinary investigations.
- Strong documentation, tracking, and records management skills.
- Proficient in Microsoft Office or Google Workspace.
- Able to handle high-volume case processing, urgent instructions, and multiple deadlines.
- Clear, direct, and professional writing ability.
- Experience in education, retail, BPO, security, logistics, construction, manpower-intensive operations, or multi-branch organizations.
- Exposure to DOLE, SENA, NLRC, or labor-related proceedings.
- Experience using HRIS, case trackers, employee records systems, or dashboard-based monitoring.
