Job Title: Executive Assistant to the Director (commercial realty company)
Job Description: As the Executive Assistant to the Director, you will be pivotal in ensuring the Director's productivity and efficiency through high-level administrative support. You will accompany the Director to various meetings, fieldwork, events, and engagements.This role requires flexibility with work locations, though it is not remote (report to the office at Makati City).
Key Responsibilities:
Communication & Coordination:
- Must have excellent communication skills (written and verbal).
- Act as the point of contact between the Director and parties.
- Handle occasional emails and correspondence on behalf of the Director.
- Prepare meeting agendas, take notes, and follow up on action items.
- Schedule & Time Management:
- Assist with scheduling appointments, meetings, and travel arrangements.
- Ensure the Director is punctual and well-prepared for all commitments.
- Handle time-sensitive requests and urgent matters efficiently.
- Logistics & Transportation:
- Coordinate all transportation and travel logistics for the Director.
- Accompany the Director to meetings, conferences, fieldwork, scouting, viewing, and various events as required.
- The company fully covers transportation fees.
- Administrative & Organizational Support:
- Organize and maintain the Director’s professional files and records.
- Manage various errands and ad hoc personal requests to support the Director.
- Ensure the Director’s workspaces (office and on-the-go) are organized and stocked with necessary materials.
- Attend all internal meetings and be responsible for appropriate follow ups across all staff.
- Ad hoc tasks as required by the President:
- Provide support for personal and professional events, as needed.
- Assist with research endeavors.
Minimum Qualifications:
- Bachelor’s degree or relevant experience.
- At least 1 year of related work experience, ideally in an administrative or personal assistant role.
- Highly organized, detail-oriented, and able to handle multiple tasks in a fast-paced environment.
- Strong verbal and written communication skills.
- Must posses strong critical thinking skills.
- Must be excellent in English and Tagalog.
- Must be able to maintain strict confidentiality and discretion at all times.
- Flexible and available to work varied hours, including travel and off-site work.
- Social media experience and basic graphic design is a plus.
Additional Requirements:
- Must be comfortable with a role that is not strictly office-based and requires flexibility.
