Role Summary

Sales and Operations Assistant (B2B + Account Management)

The Sales & Operations Assistant is responsible for supporting end-to-end B2B sales execution, operational coordination, and account management support.

This role ensures smooth processing of sales transactions, accurate data management, efficient coordination with internal teams, and consistent client communication.

The role serves as a key link between Corporate Sales, Warehouse and Logistics, Finance, and B2B clients to ensure proper execution from order creation to delivery and after-sales support.

This is an execution and coordination role focused on accuracy, responsiveness, and operational discipline.

Key Responsibilities include but not limited to:

Sales Order Processing and Documentation
  • Process sales orders, quotations, and invoice-related documents
  • Encode transactions in SAP, ERP, or internal tracking systems
  • Ensure accuracy in pricing, SKU details, payment terms, and order specifications
  • Maintain complete and updated transaction records
Quotation and Proposal Support
  • Prepare and send formal quotations and product proposals
  • Ensure alignment with approved pricing, promotions, and stock availability
  • Coordinate with Sales Team for updates on client requirements
Logistics and Fulfillment Coordination
  • Coordinate with warehouse and logistics teams for order fulfillment
  • Monitor delivery schedules and ensure on-time execution
  • Track order status and proactively resolve delivery issues
  • Provide updates to clients when needed
Client Communication and Email Support
  • Respond to client inquiries and requests in a timely and professional manner
  • Send updates on product availability, promotions, and pricing changes
  • Maintain structured communication with assigned accounts
Data Management and Reporting
  • Maintain sales trackers, order logs, and client databases
  • Ensure data accuracy across all systems and reports
  • Submit daily, weekly, and monthly reports on time
  • Use Excel tools such as formulas, pivot tables, and dashboards
CRM and Pipeline Support
  • Maintain visibility of leads, quotations, and orders in CRM or trackers
  • Ensure proper follow-up and status updates on all transactions
  • Prevent data gaps, duplication, or missing entries
Account Management Support
  • Serve as support contact for assigned client accounts
  • Monitor order history, delivery status, and transaction progress
  • Assist in maintaining strong client relationships through consistent updates
  • Identify opportunities for repeat orders and upselling support
After-Sales Coordination
  • Assist in handling returns, replacements, and warranty concerns
  • Coordinate with warehouse and service teams for issue resolution
  • Ensure proper documentation and client communication during resolution
Cross-Functional Coordination
  • Work closely with Sales, Warehouse, Finance, and Marketing teams
  • Ensure alignment across all sales execution and operational processes
  • Support smooth end-to-end transaction flow
AI and Process Improvement
  • Utilize AI tools and automation to improve reporting and productivity
  • Support continuous improvement of workflows and data processes
