As part of our continued partnership with one of our key clients, we’re hiring a detail-oriented and proactive Operations Assistant to join our team.

What You’ll Be Doing

As an Operations Assistant, you will provide essential administrative and coordination support to the Operations and Engineering teams, helping ensure projects and day-to-day activities run efficiently and on schedule.
  • Book inspections (local and international), and coordinate freight, containers, and incoming stock
  • Schedule meetings, project milestones, and team handovers
  • Assist in planning and coordinating production and delivery activities
  • Send expediting emails and follow up on outstanding information with suppliers and internal stakeholders
  • Manage shared inboxes and ensure timely responses or escalation
  • Maintain and update systems such as NetSuite, Monday.com, and other platforms
  • Organize and maintain registers, trackers, and documentation libraries
  • Save and manage reports, certifications, and inspection records for compliance
  • Support Production, Quality, and Supply Chain teams with administrative tasks
  • Assist in preparing production packs (labels, QR codes, documentation)
  • Support RFQs, purchase orders, and supplier coordination
  • Track and update job and project progress in internal systems
  • Identify process inefficiencies and support continuous improvement initiatives
What We’re Looking For
  • 2–4 years of experience in an administrative, coordination, or operations support role
  • Experience with ERP or business systems (e.g., NetSuite, Excel, MS Teams, Monday.com)
  • Strong organizational and time management skills
  • High attention to detail and accuracy
  • Proactive mindset with strong follow-up skills
  • Clear and professional communication
  • Process-driven and solutions-oriented approach
  • Ability to collaborate effectively across teams
  • Willingness to work Australasian, North American, or UK shift hours
  • Willingness to work in or relocate to Angeles City, Pampanga
