Job Role : Finance and Accounts Management

Work Schedule : Monday to Friday, 10:00AM to 6:00PM (Sydney Time)

Salary Budget : $1,400 - 1,750 AUD / Month

Contract : Full Remote

We provide an end-to-end solution from solution architecture provision of hardware and installation to content creation and delivery through our proprietary Content Management System “CMS”.

We have a network of media players in the market that play visual content to screens and audio content through sound systems in retail, hospitality and other channels. We also create and manage interactive experiences for use on interactive kiosks.

We provide the following products and services to our clients:

  • Media Technology design and consultation including Digital Signage, Interactive Experiences , Music , Business Automation
  • Media Management Systems & Interactive Systems
  • Network management and monitoring
  • Content management and content creation
  • Customer support
  • Music Supply, Streaming & Music Programming
  • Bespoke technology and emerging technologies integration

We have a second company, which manages our music licensing and programming.

Key Responsibilities:

  • Accounts Receivable and Payable
  • Knowledge of the Xero platform to keep the up to date and with integrity
  • Implementing quotations from WorkflowMax2 and linking with Xero
  • Prepare the books in consultation with our accountants
  • Maintain a database of customer details and correcting coding
  • All account activities are documented in knowledge base
  • Provide copy invoices and statements to customers are requested
  • Maintain, monitor, and respond to emails for 2 accounts email accounts
  • Monitor customer account details for non-payments, delayed payments and other irregularities and
  • Follow up on outstanding debts. Outbound phone preferred
  • Notify management of delinquent accounts each month
  • Create new accounts in Xero & WFM2
  • Develop, improve and maintain written systems & procedures in Get Guru
  • Payroll
  • Prepare for payment of Ph staff
  • Record annual leave and sick days
  • Ensure employment contract benefits are delivered to staff
  • For Australian staff, ensure superannuation payments are made in accordance with ATO requirements and employment contract terms
  • Cash Flow forecast
  • Ensure that management has visibility of cash flow for a minimum of 12months in advance
  • Keep the cash flow forecast up to date for weekly reporting to management
  • Staff Management
  • Managing the coordinator to ensure tasks are completed effectively
  • Ensure rented assets are added to the PPSR database
  • Process Improvement
  • Create process templates for WFM
  • Create quoting templates and keep up to date
  • Keep stock items in WFM up to date
  • Other
  • Process credit card payments if/when required (TBA)
  • On boarding of new client including recording details, contracts and direct debits
  • Preparation of reports for our music suppliers
  • Preparation of reports for our music label partners

Requirements

Qualifications:

  • At least 3 years of experience in Administration and Bookkeeping
  • At least 3 years of experience working with Australian Businesses
  • Accounting Degree (Minimum)
  • MBA (Preferred)
  • Experience working with WorkflowMax
  • Detailed knowledge of and experience with Xero accounting software
  • Prior people management skills is a bonus
  • Debt collection
  • Payroll management

Skills:

  • To be well informed of the company Policy and Procedures
  • Understand and be able to use the chosen Accounting software (XERO) and Client
  • Relationship Management (CRM) Project Management (WFM2)
  • Intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint and Outlook)
  • Prior experience working with Xero accounting software and WorkflowMax2
  • Communication skills–must present well in talking to customers and be able to assist on the phone or email
  • Critical Thinking skills
