Keep internal hiring records clean, current, and audit-ready across multiple systems.
- Oversee the full lifecycle of external contractor engagement—from initial intake to onboarding logistics and paperwork coordination.
- Spot bottlenecks in the hiring flow and build repeatable, scalable fixes that speed things up without cutting corners.
- Draft and regularly update internal guides, process docs, and reference materials for the hiring team.
- Run mid-sized projects aimed at improving how we recruit—whether through smarter tools, clearer processes, or better team enablement.
- Act as the go-to expert for hiring tools and platforms, ensuring consistent use and accurate data entry.
- Collaborate closely with People Tech and HR teams when new features or updates are rolled out in recruitment platforms.
- Support cross-functional partners in tracking open roles and approved headcount across teams.
- Be a hands-on resource for recruiters—whether solving issues, training on new workflows, or helping navigate tricky process steps.
- Monitor and share key hiring metrics like request volume, age of open roles, team capacity, and contractor headcount.
- Maintain internal logs, sheets, or dashboards that provide visibility into hiring activities and potential roadblocks.
- Regularly check data quality across tools and make sure best practices are being followed.
- 4–6 years of experience in recruitment operations, people support, or a related HR coordination role.
- A solid grasp of headcount planning, request management, and the tools commonly used to run a recruiting team.
- Familiarity with how external vendors and contractors are brought into organizations, including compliance steps.
- A love for clear processes—you document what works, revise what doesn’t, and always aim for consistency.
- Comfortable working with spreadsheets, forms, dashboards, and internal reports.
- Strong written and verbal communication—you’ll often act as a bridge between teams.
- Prior exposure to large HR or hiring platforms (even if you don’t own admin rights).
- Willingness to travel occasionally for team events and meetups at other office locations.
