Role Overview:
We are looking for a detail-oriented and dependable Virtual Assistant to support Kristina with project management. This role requires someone who is tech-savvy, communicative, and comfortable working in a fast-paced environment.
Requirements:
- Full-time (8am-5pm ET, Monday to Friday).
- Must have project management experience or any similar role
- Familiarity with CRM or project management tools (preferably Jobber)
- Detail-oriented and reliable.
- EXCELLENT verbal and written communication skills
- Comfortable coordinating with clients and subcontractors
Software tools used by the client:
- Jobber
- Microsoft Office Suite
- QuickBooks
Main Responsibilities:
Project Support:
- Manage schedules, meetings, and team assignments.
- Monitor calendars and emails for requests, scheduling needs, and project communications.
- Update Project Management software (Jobber) with new jobs, assignments, deadlines, and status indicators.
- Track and adjust schedules as needed to keep projects and deliverables on time.
- Coordinate assignments and day-to-day progress updates with the team.
- Monitor project progress, deadlines, and milestones to ensure jobs stay on track.
- Ensure all company standards and safety protocols are followed.
- Communicate with clients and team members to provide updates, answer questions, and address issues.
- Send clients regular updates
- Help problem-solve challenges and, when necessary, support field operations directly.
- Manage job folders and project documentation
- Ensure all protocols, standards, and project paperwork are completed before job closure.
- Reconcile invoices against tickets and receipts
- Track job status and update project lists to reflect billing and closure status.
- Ensure financial records are accurate and up to date.
