About our client

Our client is looking for a proactive and highly organised Sales Executive Assistant to support their Managing Director and assist the broader Partnerships team with key business development activities. While your main focus will be on providing high-level executive support, you’ll also play a key role in helping the team manage proposals, reporting, and lead generation tasks — especially during periods of high demand.

This hybrid role is ideal for someone who thrives in a fast-paced environment, enjoys juggling priorities, and brings both administrative precision and a keen interest in sales operations.

Responsibilities

Inbox Management
  • Take full ownership of the Managing Director’s inbox, including sorting, prioritising, flagging, and responding where appropriate.
  • Understand which emails require escalation, delegation, or no action.
  • Maintain an organised system for managing and reviewing email traffic daily.
Microsoft Teams Management
  • Monitor Managing Director mentions, messages, and notifications across multiple Teams channels.
  • Identify and flag high-priority threads or actions requiring Managing Director attention.
  • Maintain a clean, clear flow of communication on Teams for the Managing Director.
Calendar and Scheduling
  • Manage the Managing Director’s calendar to ensure clarity, structure, and no scheduling conflicts.
  • Accept/decline meetings on the Managing Director’s behalf based on context and availability.
  • Block out time for deep work, travel, or strategic planning as required.
  • Anticipate upcoming priorities and adjust schedules accordingly.
Meeting Coordination
  • Act as the point of contact for all meeting requests involving the Managing Director.
  • Coordinate and schedule meetings with internal team members and external clients.
  • Liaise with consultants to ensure meetings are booked with proper context, no clashes, and necessary prep time.
  • Confirm agendas, attendees, and logistics for smooth execution.
Travel Coordination
  • Manage a travel tracking Teams channel — respond to travel requests and updates.
  • Book all travel including flights, accommodation, and transport for the Managing Director.
  • Liaise with consultants and project teams to coordinate travel aligned to project needs.
  • Keep all bookings organised, confirmed, and easily accessible.
Meeting and Presentation Support
  • Ensure the Managing Director is well prepared for all key internal and external meetings.
  • Prepare or coordinate presentations, briefing documents, and high-level meeting notes.
  • Liaise with attendees to confirm agendas and materials are shared in advance.
  • Ensure meetings are efficient, outcomes are captured, and follow-ups are tracked.
Stakeholder Communication
  • Act as a key liaison between the Managing Director and internal stakeholders across the business.
  • Support high-quality communication flows to ensure alignment and clarity.
  • Proactively follow up on key actions or requests.
Sales & Business Development Support
  • Assist with document and contract management, including NDAs and confidentiality agreements using DocuSign
  • Help maintain accurate client and opportunity data in systems such as Accelo, HubSpot, and SharePoint
  • Help manage the Connect inbox, ensuring timely and professional responses
  • Coordinate updates to team resources
  • Contribute to mapping and research for lead generation and pursuit planning
  • Assist with maintaining business development pipelines, reporting, and process improvements
