Work Schedule

Compressed work schedule (Monday – Friday)

7:00 am – 6:00 pm every Monday –Thursday

7:00 am – 4:00 pm every Friday

What You’ll Do
  1. Purchasing Processing & Documentation
  • Process purchase requisitions and prepare purchase orders (POs) in accordance with company policies.
  • Place orders with approved suppliers and track order status until delivery.
  • Process Requests for Payment (RFPs) for approved POs.
  • Maintain accurate and complete procurement records and documentation.
  1. Urgent Request Assessment & Validation
  • Receive and immediately review urgent food supply requests from store operations and sales department.
  • Verify urgency, quantity, specifications, and required delivery time.
  • Confirm stock availability and validate against inventory levels and production needs.
  1. Immediate Purchase & Payment Handling
  • Conduct on-site supplier search and canvassing in various sourcing channels, including but not limited to wet markets, wholesalers, groceries, and distributors.
  • Compare price, quality, freshness, availability, and delivery speed.
  • Identify best-value and fastest-available options.
  • Perform direct purchasing using petty cash, company funds, or authorized payment methods.
  • Ensure official receipts, invoices, and delivery documents are obtained.
  • Comply with cash handling and liquidation policies.
  1. Order Accuracy & Delivery Coordination
  • Ensuring order accuracy

  1. Budget Compliance & Cost Optimization
  • Ensuring purchases align with budget constraints

  1. Supplier Sourcing & Quote Evaluation
  • Source local suppliers for food materials as directed.
  • Request, gather, and compare supplier quotations and prepare comparative summaries.
  • Support supplier negotiations and evaluations.
  1. Quality, Safety & Compliance Monitoring
  • Request for QA testing and approval of sample items.
  • Ensure products comply with food safety standards (FDA, HACCP, GMP) and company quality standards
  • Verify expiry dates, batch numbers, COA, MSDS (if applicable).
  1. Market Trend Monitoring & Price Forecasting
  • Monitoring market trends to anticipate price changes
  • Track market price fluctuations of materials and supplies.
  • Identify new suppliers and compare vendor competitiveness.
  • Stay informed on market conditions affecting supply and costs.
  • Monitor availability and potential shortages of materials.
  • Report trends and recommend cost-effective purchasing strategies.
  1. Supplier Relationship Management
  • Coordinate regularly with suppliers for orders, updates, and concerns.
  • Maintain strong supplier communication and negotiation leverage
  1. Record Keeping and Reporting
  • Maintain accurate and up-to-date records of purchase requisitions, orders, supplier communications, and delivery notes.
  • Generate regular procurement reports and summaries for management.
  • Support the preparation of audit-ready documentation and maintain digital and physical filing systems.
Other Duties
  • Perform other related duties that may be assigned from time to time as necessary to support departmental goals.
What You’ll Need
  • Bachelor’s Degree in Business Administration, Supply Chain Management, Purchasing and Materials Management, Industrial Engineering, or any related field.
  • At least 1–2 years of experience in purchasing, procurement, or supply chain administration, preferably in a manufacturing, trading, or industrial company.
  • Fresh graduates with internship experience in purchasing or logistics may also be considered.
  • Experience in supplier coordination, canvassing, and documentation is an advantage.
  • Preferably knows how to drive a motorcycle and with a valid driver’s license.
  • Strong knowledge of purchasing procedures, supplier evaluation, and procurement documentation.
  • Familiarity with Request for Quotation (RFQ), Purchase Order (PO), and bid comparison processes
  • Experience using SAP for purchasing transactions is an advantage.
  • Understanding of basic accounting principles related to purchasing (e.g., three-way matching, invoice and delivery receipt validation).
  • Basic knowledge of logistics coordination and delivery scheduling.
  • Awareness of quality control standards for purchased materials or supplies.
  • Familiarity with procurement documentation and company compliance requirements.
