Executive Assistant - Content Creator & Real Estate

Company Overview

We are seeking a proactive and organized Virtual Executive Assistant to support a dynamic entrepreneur involved in real estate, content creation (including a podcast), and cruise group coordination. The ideal candidate will bring structure to current manual processes, manage multiple streams of work, and bring ideas for automation and optimization.

Key Responsibilities

Real Estate Support:

  • Organize and manage real estate listings
  • Source and sort candidate applications for client interviews
  • Update and maintain spreadsheets for real estate utilities

Finance & Planning:

  • Assist in ideation and preparation for weekly finance meetings
  • Post meeting assets (videos, docs) to Google Drive for ongoing collaboration

Podcasting & Content Coordination:

  • Assist with podcast publishing workflows and social media commenting
  • Help migrate podcast from Transistor to a more cost-effective platform
  • Manage newsletter creation and distribution
  • Move email marketing from Mailchimp to ConvertKit

Cruise & Travel Coordination:

  • Make cruise reservations using Cruising Power for group trips
  • Send onboarding emails to new cruise members and maintain an organized spreadsheet

Process Improvement:

  • Analyze current manual workflows and recommend improved processes or tools to enhance efficiency
Qualifications
  • Strong experience with Google Workspace (Drive, Sheets, Docs)
  • Familiarity with podcast platforms and basic social media content workflows
  • Previous experience with ConvertKit and/or Mailchimp
  • Comfort with online booking tools and travel logistics
  • Excellent communication and organizational skills
  • A solutions-oriented mindset, eager to suggest improvements
Work Hours
  • Full-time (40 hours/week)
